General Description:

The Senior Content Operations Specialist is responsible for the operational execution and continuous improvement of enterprise content capabilities across Digital Asset Management (DAM), claims management, and content performance reporting. This role ensures that content assets, claims, and associated metadata are accurately structured, governed, and accessible to enable compliant, scalable content creation and reuse across Commercial and Medical organizations.

Serving as a key operational partner to the Associate Director, Enterprise Content Systems, this role focuses on day-to-day management of content libraries, claims repositories, and reporting frameworks within Veeva Vault PromoMats and related systems. The Manager ensures that content and claims are properly tagged, linked, and maintained to support PRC/MRC processes, modular content strategies, and downstream omnichannel activation.

This role plays a critical part in enabling content discoverability, reuse, and measurement by enforcing metadata standards, maintaining data quality, and delivering actionable insights on content utilization, cycle times, and performance. The Manager collaborates cross-functionally with Commercial, Medical, Regulatory, Legal, GCMT, and agency partners to drive operational excellence, compliance, and data-driven decision-making across the content lifecycle.

Essential Functions of the Job:

Digital Asset Management (DAM) Operations

·Manage day-to-day operations of Digital Asset Management (DAM) within Veeva Vault PromoMats, ensuring content is accurately ingested, tagged, classified, and maintained.

·Enforce metadata, taxonomy, and naming conventions to ensure content discoverability, reuse, and compliance.

·Maintain asset lifecycle governance, including version control, archival, expiration, and reuse eligibility.

·Partner with content owners, agencies, and cross-functional teams to ensure assets are uploaded and structured according to enterprise standards.

·Monitor and improve DAM data quality, identifying and resolving gaps in metadata, tagging, and asset organization.

·Support DAM integration with downstream systems (e.g., CMS, omnichannel platforms) to enable seamless content distribution.

Claims & References Management

·Administer and maintain claims and references libraries within PromoMats, ensuring accuracy, completeness, and compliance.

·Ensure claims are properly structured, tagged, and linked to supporting references and associated content.

·Support modular content strategies by enabling claims reuse across assets and channels.

·Partner with Regulatory, Medical, and Legal stakeholders to ensure claims governance standards are followed.

·Perform ongoing quality checks to ensure claims remain current, valid, and aligned with approved references.

·Support PRC/MRC processes by ensuring claims, references, and supporting documentation are readily accessible and compliant.

Content Reporting

·Develop and maintain reporting frameworks and dashboards to track content lifecycle performance, including:

oReview and approval cycle times

oAsset utilization and reuse

oClaims usage and distribution

oWorkflow efficiency and bottlenecks

·Analyze content and system data to generate actionable insights that inform process improvements and operational decisions.

·Partner with stakeholders to define reporting requirements and translate business needs into scalable dashboards and metrics.

·Ensure data integrity and consistency across DAM and claims datasets used for reporting.

·Support leadership reporting needs with clear, concise, and actionable summaries of content performance.

Metadata, Taxonomy & Data Quality Governance

·Apply and enforce enterprise tagging and taxonomy standards across DAM and claims repositories.

·Partner with taxonomy and tagging teams to evolve metadata frameworks to support automation, discoverability, and reporting.

·Conduct regular audits to assess metadata completeness, accuracy, and adherence to standards.

  • Drive continuous improvement of data quality to support content reuse, analytics, and AI enablement.

PRC / MRC Operational Support

·Support execution of PRC and MRC workflows by ensuring content, claims, and references are properly structured and ready for review.

·Identify operational inefficiencies in review workflows and recommend improvements.

·Partner with cross-functional stakeholders to ensure smooth content progression through review and approval processes.

Cross-Functional Collaboration & Stakeholder Support

·Act as a key operational partner to Commercial, Medical, Regulatory, Legal, GCMT, and agency teams.

·Provide guidance and support to content creators and reviewers on DAM, claims, and metadata best practices.

  • Translate business requirements into operational processes and system configurations where applicable.
  • Support onboarding and training of new users on DAM and claims management processes.

Governance, Adoption & Continuous Improvement

·Ensure adherence to enterprise governance standards, SOPs, and best practices for content management.

·Contribute to development and refinement of operating procedures, guidelines, and documentation.

·Monitor user adoption, feedback, and system usage to identify opportunities for improvement.

·Drive continuous improvement initiatives to enhance efficiency, compliance, and user experience.

Supervisory Responsibilities:  

·This role does not have direct people management responsibilities.

·Provides operational guidance and subject matter expertise to cross-functional stakeholders, including Commercial, Medical, Regulatory, Legal, GCMT, and agency partners.

·May coordinate and oversee work delivered by vendors or agency partners in support of DAM, claims management, and reporting activities.

Computer Skills:   

  • Strong working knowledge of:
    • Veeva Vault PromoMats, including DAM, claims, and content lifecycle workflows
    • Digital Asset Management (DAM) platforms and asset governance processes
    • Claims and references management systems within regulated environments
  • Proficiency in:
    • Metadata, taxonomy, and tagging frameworks to support content organization, discoverability, and reuse
    • Reporting and analytics tools (e.g., Excel, Power BI, Tableau, or similar) to develop dashboards and performance insights
    • Data analysis and data quality management practices
  • Familiarity with:
    • PRC/MRC workflows and content review processes within Veeva Vault
    • CMS and omnichannel activation platforms
    • Modular content frameworks and reuse strategies
  • Experience with:
    • Collaboration and documentation tools (e.g., Microsoft Teams, SharePoint, Confluence)
    • Data extraction, reporting, and dashboard development to support operational and leadership insights

Education Required:

  • Bachelor’s degree required or equivalent combination of education and relevant professional experience, preferably in:

Other Qualifications:

  • 4+ years of experience in content operations, digital asset management (DAM), marketing operations, or related roles, preferably within biotech, pharma, or life sciences.
  • Hands-on experience working within Veeva Vault PromoMats or similar regulated content management systems. Veeva Vault certification is preferred.
  • Solid understanding of content lifecycle processes, including PRC/MRC review, approval, and compliance requirements.
  • Demonstrated experience managing DAM libraries, claims repositories, and metadata/taxonomy structures.
  • Strong analytical skills with experience translating data into actionable insights and reporting.
  • Experience working with metadata standards, data governance, and data quality management.
  • Proven ability to operate effectively in a cross-functional, matrixed environment, collaborating with Commercial, Medical, Regulatory, Legal, and agency partners.
  • Detail-oriented and highly organized, with a focus on accuracy, consistency, and data integrity.
  • Strong communication skills, with the ability to provide clear guidance and training to stakeholders on processes and systems.
  • Proactive, solution-oriented mindset with a focus on continuous improvement and operational efficiency.
  • Experience supporting or enabling modular content and content reuse strategies preferred.
  • Familiarity with reporting tools, dashboards, or data visualization platforms preferred.

Travel: 

  • Minimal travel required.
  • Estimated 0–10%, primarily for key workshops, training sessions, or team planning meetings.

Salary Range Poland: 164,200.00 PLN - 205,200.00 PLN
