Job Description

With operations and staff worldwide, Teledyne Optech has led the advancement of the technology for 40 years, empowering surveyors, researchers, and government organizations with fast, accurate and cost-effective solutions. The Sales Order Coordinator role is a critical operational function within our order‑to‑cash process. This role ensures accurate order entry, smooth cross‑functional coordination, timely delivery, and seamless customer communication from purchase order receipt through shipment and invoicing.

Primary Duties & Responsibilities:

  • Process and validate contract approvals to ensure all incoming orders comply with internal contract approval guidelines, commercial terms, and authorization thresholds. This function is essential to safeguarding revenue recognition accuracy and contractual compliance. 

  • Create and maintain sales orders in SAP with a high degree of accuracy, ensuring alignment with approved purchase orders, quotations, pricing policies, and customer requirements. This includes verifying item configuration, lead times, and billto/shipto data to prevent downstream errors. 

  • Facilitate crossfunctional order review meetings for complex or highvalue sales. This role coordinates all required stakeholders—Finance, Manufacturing, Planning, Product Management, and Logistics—to ensure operational readiness, accurate costing, and alignment on customer commitments. 

  • Drive the endtoend sales order process to support OnTime Delivery (OTD) performance, proactively monitoring order progress from entry to shipment and escalating issues that may impact deliverables. 

  • Identify and mitigate risks early by anticipating potential delays related to material availability, configuration questions, credit status, contract gaps, or logistical constraints, and coordinating timely corrective actions. 

  • Serve as the primary customer interface for all orderrelated communication. This includes acknowledging orders, securing logistical approvals, providing proactive status updates, and coordinating all steps through to final shipment. The role acts as the central point of contact, ensuring a consistent, professional customer experience. 

  • Maintain strong communication with Finance to support accurate and timely invoicing, ensure credit holds or payment issues are resolved, and help maintain the integrity of the ordertocash cycle. 

  • Coordinate closely with the Logistics team to ensure all outbound shipments are properly documented, compliant, and approved—covering commercial invoices, packing lists, export documents, carrier instructions, and special customer requirements. 

  • Liaise with Trade Compliance to confirm all export control and documentation requirements are fully satisfied prior to shipment, reducing regulatory risk and ensuring seamless border clearance for international customers. 

Job Qualifications:

  • Minimum 3 years experience processing complex international sales orders.

  • Must have 2+ years experience processing orders in SAP.

  • Project Coordination an asset.

  • Strong understanding of terms and conditions, INCO terms, payment terms and customer relations.

  • Cross-functional team experience in matrix organization.

  • Ability to work independently and multi-task.

  • Strong written and verbal communication skills.

  

Salary Range:

$41,900.00-$55,800.000

Actual compensation for successful candidates is carefully determined based on several factors including, but not limited to, location, local regulations (such as minimum wage), education/training, work experience, key skills, and type of position.
