Position Overview:

HUB International is seeking a detail-oriented and proactive Benefits Compliance Coordinator to join our Employee Benefits practice. The Benefits Compliance Coordinator will play a critical role in supporting ACA (Affordable Care Act) compliance operations, benefits administration, HR technology initiatives, and regulatory compliance activities across our client base. The ideal candidate brings a blend of technical aptitude, organizational precision, and a foundational understanding of employee benefits compliance.

Key Responsibilities:

ACA Compliance & Reporting

  • Track hours by client for all ACA-related projects and maintain accurate project logs throughout the ACA season.
  • Gather initial client data from internal service team members, multiple enrollment systems, insurance carriers, and clients.
  • Maintain ongoing carrier contact relationships.
  • Assist Account Executives with client data received.
  • Support the review of enrollment-formatted data received for errors, escalating to the appropriate AM for final verification.
  • Assist with all ACA reporting projects as needed

Benefits Compliance & Regulatory Support

  • Assist with HR Technology comparisons and support the maintenance of the Request for Information (RFI) database.
  • Manage Form 5500 filings for all applicable clients, including tracking which clients require a 5500, notifying the relevant client contacts and EB AE/AM teams, and coordinating the gathering of all required filing information.
  • Help Manage multiple Compliance platforms on behalf of the Employee Benefits team.
  • Produce custom compliance notices for client benefit guides using HUB's internal compliance tool.
  • Assist clients with Prescription Drug (RX) reporting requirements in coordination with internal compliance leadership.
  • Gather Medicare Credibility information from carriers and maintain organized records annually.
  • Work with compliance leadership to identify and draft Medicare Notice requirements for distribution to AE/AM teams and clients.
  • Maintain the vendor list for Section 125 Non-Discrimination Testing.
  • Research and assist in managing PCORI fee obligations and related client communications.
  • Other compliance and HR Technology Project work when needed

ACA Workshops & Client Events

  • Collaborate with the marketing team to support logistics all compliance related educational events (in person and virtual events).
  • Manage event registrations and cancellations, keeping internal stakeholders updated on attendance status.
  • Draft pre-event and post-event email communications in coordination with AEs and compliance leadership.
  • Coordinate with marketing or personally manage email outreach to in-person attendee lists.

Qualifications

Required:

  • Above-average proficiency in Microsoft Excel, including experience with data organization, formulas, and file management.
  • Prior experience in HR, payroll, or accounting related tasks.
  • Strong attention to detail with demonstrated ability to manage multiple concurrent projects accurately.

Preferred:

  • Basic understanding of the Affordable Care Act (ACA), specifically employer shared responsibility and 1095-C reporting.
  • Experience with project management methodologies or tools.
  • Familiarity with benefits administration platforms.
  • Experience working within an employee benefits, insurance brokerage, or HR consulting environment

Required Experience: 2-5 years of relevant experience

Required Education: High school or equivalent
