The Assistant Facility Manager supports the delivery of integrated facility management services by assisting with day-to-day operations, vendor coordination, client support, financial tracking, and compliance activities. This role partners closely with the Facility Manager to ensure operational consistency, service excellence, and alignment with JLL standards and client expectations.
Key Responsibilities
Administrative & Operational Support
Support the Facility Management team with tactical planning and execution of operational goals and objectives.
Provide day-to-day oversight of assigned facility management tasks and operational activities.
Support soft services operations, including janitorial, landscaping, mailroom, and other workplace services as applicable.
Coordinate and support special events, meetings, and conference room reservations in alignment with client requirements.
Assist with the scheduling and coordination of maintenance activities to minimize operational disruption.
Manage and oversee work orders within the client CMMS system (Corrigo), ensuring timely updates, proper documentation, and closure.
Communication & Relationship Management
Provide general facility oversight through routine monitoring of the campus and service delivery activities.
Serve as a point of contact for the client, occupants, visitors, and guests.
Ensure timely follow-up and resolution of service requests and issues.
Coordinate with vendors, facilities staff, and service providers to ensure effective execution of work within the client environment.
Communicate operational updates, service impacts, and issues to the Facility Manager as appropriate.
Program Support & Continuous Improvement
Assist with the development and implementation of operational programs, processes, and procedures that improve efficiency, productivity, and cost control.
Support variance reporting for operating budgets on a monthly and quarterly basis.
Assist with the development and execution of annual management plans for assigned facilities.
Provide operational and administrative support related to capital and expense planning in coordination with the Facility Manager and client representatives.
Financial Support
Assist with budget development, tracking, and analysis for operating and capital expenses.
Support financial reporting, including variance analysis and cost tracking.
Assist with preparation of budget requests and supporting documentation.
Compliance, Safety & Vendor Management
Support compliance with JLL policies, procedures, and minimum audit standards related to facilities, finance, and operations.
Monitor site KPIs and SLAs; assist with identifying performance gaps and corrective actions.
Support enforcement of company safety policies, training requirements, and safe work practices.
Assist with implementation and monitoring of hazard controls and safety programs in compliance with local codes and JLL standards.
Monitor vendor service delivery, coordinate issue resolution, and support performance evaluations.
Assist with tracking vendor training compliance and contractual obligations.
Operational Risk & Incident Support
Provide after-hours facilities support and response as required by the site.
Assist with operational audits, compliance reviews, and corrective action tracking.
Escalate operational incidents, risks, and service disruptions to the Facility Manager in accordance with established procedures.
Qualifications
Bachelor’s degree preferred; equivalent experience in facilities management or operations considered.
2–5 years of experience in facilities management, operations, or a related field.
Experience supporting soft services and vendor-managed environments.
Familiarity with CMMS platforms (Corrigo).
Strong organizational, communication, and customer service skills.
Ability to manage multiple priorities in a fast-paced environment.
