Job Summary

Specializes in providing routine administrative and secretarial support as directed and under minimal supervision, for an individual, group, or department. Responsibilities may include coordination and scheduling, supplies and equipment ordering, expenses reimbursement, completes routine tasks, scanning & filing, office cleaning. This position requires strong organizational, coordination and judgment skills and ability to prioritize effectively.


 

Qualifications

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Perform administrative duties and provide routine administrative support under minimal supervision at a high proficiency level

  • Provides direct support to Administrator, PIs

  • Work is highly complex, non-repetitive and often project oriented,

  • Ability to solve problems and determine best course of action with little direction

  • Act as a lead, assign and prioritize workflow, troubleshooting issues, assist with training and orientation, and provide backup support for the Supervisor. 

  • Work on projects, coordinate work, take initiative using all available resources, follow through on issues when needed, apply knowledge as appropriate with little direction from Supervisor 

  • Work with other departments and institutions to facilitate cross-promotion

  • Support other document development activities including research publications, presentation materials and manuscripts, including creating bibliographies, sourcing curriculum vitae

  • Comfortable and facile with learning new computer applications.

  • Intensely organized and detail oriented

  • Able to do physical activity, such as carrying boxes

  • Assist with training as needed

  • Assist with special projects as directed

  • Other duties, as assigned

Education
High School Diploma or Equivalent required
Can this role accept experience in lieu of a degree? No

Experience
Administrative Assistant or Secretarial Experience 0-1 year preferred

Knowledge, Skills & Abilities
Basic understanding of office procedures including filing, copying, scanning, printing and faxing.
Basic Proficiency in MS Office.
Ability to use phone system.
Managing one's own time and the time of others.
Strong verbal & written communication skills.
Strong customer service skills.
Strong interpersonal, written and oral skills.
Ability to use standard office equipment.
