Idaho Power — located in vibrant Boise, Idaho — is looking for a temporary Departmental Specialist to join our Fleet team. It’s an exciting time to work for Idaho Power. What does a Departmental Specialist do for us?

Under minimum direction and acting on own initiative and direction, they provide complex specialized support for one or more departments or administrative units. Other job duties include:

  • Support: Assisting multiple senior managers and staff
  • Data Management: Maintaining and analyzing complex data systems for reports and studies and ensuring data accuracy and integrity
  • Confidential Work: Handling sensitive tasks that require knowledge of company policies and procedures while maintaining confidentiality at all times
  • Project Coordination: Acting as a coordinator for departmental projects and ensuring timely completion and effective communication among team members
  • Leadership: Providing guidance to lower-level staff and fostering a collaborative and productive work environment
  • Fleet Support: Administration and management of a fleet of approximately 1860 vehicles/equipment across five departments 
  • Contract Management: Working with Contracting on fleet-related contracts
  • System Management: Ensuring proper integration and management of users and vehicles in Idaho Power systems and troubleshooting issues as needed
  • Administrative Tasks: Creating work orders, material requests, and procurement justifications; processing invoices; and ordering materials and parts for jobs and assisting with the setup of new vehicles
  • Self-Direction: Demonstrate the ability to independently manage tasks and projects with minimal supervision, exhibit strong organizational skills to prioritize and complete work efficiently, proactively identifies and addresses potential issues, ensure high-quality output, show initiative in seeking out resources and solutions to improve processes and outcomes, and maintain a high level of accountability and responsibility for personal and team performance.

A COMPETITIVE CANDIDATE WILL HAVE

Knowledge of:

  • Project/Data management: Proficiency in all MS Office Apps, including advanced- level Excel, Word, and OneNote.
  • Procurement: Understanding of Receiving, Accounting, and Vendor Relations
  • Fleet Management: Experience with asset tracking, operator assignment, reporting, Department of Motor Vehicles (DMV), event coordination and excellent customer service
  • The use and navigation of an Asset Management software

Preferred:

  • Familiarity with Smartsheet’s, Power BI, SharePoint, Asset Works, Asset Suit, Adobe, Kofax, and Teams

Skills in:

  • Computer Systems and Software: Generating queries and reports using a variety of computer systems and software and interpreting data and provide actionable insights
  • Data Entry: Process following, accuracy and detail origination, attention to detail, and process adherence
  • Written Communications: Strong editing and proofreading skills for correspondence, technical documents, ensuring proper punctuation, spelling, and grammar

Ability to:

  • Understand and apply basic mathematical calculations and concepts involving fractions, decimals, percentages, etc.
  • Self-manage projects from multiple sources, ensuring timely and efficient completion
  • Work collaboratively as part of a team, contributing to a positive and productive work environment


MINIMUM REQUIREMENTS

Education:

  • High school Diploma or GED

Experience:

  • 3 or more years of related experience

OR

  • An equivalent combination of formal education and work experience

Preferred:

  • 2 years of company experience
  • Experience in Fleet management software or Fleet Operations

Licenses & Certifications:

  • Valid driver's license with an acceptable driving record based on driving requirements for the position

PHYSICAL REQUIREMENTS
This position requires working at a desk/computer for extended periods of time. It requires the use of office equipment, fine motor skills including typing on the computer, dialing phones, filing paper, and working in close proximity to other people. There may be occasional lifts of no more than 10 lbs. The above is a summary of the primary essential functions of the position.
