We are currently looking for a Shift Scheduling Specialist to join our team in the Toronto Flight Information Region (FIR). Reporting to the Manager, Shift Optimization, this role is the focal point for preparing, adapting, establishing and maintaining critical coverage for our operation.

Job Description

Key Accountabilities:

  • Plans, creates and reviews employee schedules in a complex scheduling environment for operational staff within the FIR by maximizing human resources, training and other on-going requirements to ensure operational requirements are met, all while respecting established publishing deadlines
  • Ensures that all employee schedules are compliant with the applicable collective agreement, Canadian Labor Code, unit policies and directives, as well as other governing directives and regulations which may apply
  • Monitors employee schedules and iSIGN daily and identifies schedule deficiencies to management. With the manager approval, makes necessary adjustments to schedules by calling employees for overtime coverage to ensure that all operational needs are met and / or notifying employees of changes made in a timely, cost efficient manner
  • Establishes and maintains a current employee overtime list and provides equal distribution of overtime among employees as per specified contract agreements, while ensuring CLC hours are not exceeded
  • Performs daily close-day verification (iSIGN report), to validate data accuracy between the sign-in sheet (iSIGN report) and the Employee Scheduling System, while adhering to the applicable collective agreement(s), Canadian Labor Code, as well as other governing directives and regulations which may apply
  • Prepares and provides cost effective options that minimize impact to the ATS operations when generating new cycles for employees

Job Requirements

Education:

  • Successful completion of secondary school or an approved equivalent

Experience:

  • 3 or more years of experience in employee scheduling
  • Experience in providing administrative or operations support.
  • Experience in the use of office computer software applications and data manipulation and reporting tools such as Word and Excel

Knowledge:

  • The work requires considerable knowledge of automated scheduling tools (Employee Scheduling System) and of various software applications (Microsoft Outlook, Word, Excel, and Power Point) as well as the intricacies involved in shift scheduling as it applies to the ATS environment
  • Knowledge of collective agreements, CLC guidelines and regulations as well as corporate policies and / or guidelines, administrative policies, practices and procedures
  • Knowledge of the Air Traffic Services environment and experience in coordinating and providing administrative support services in an operational environment
  • Knowledge of HR automated pay and leave systems and their interaction with the Employee Scheduling System

Working Conditions:

  • This position will be responsible for shift scheduling in the Toronto Flight Information Region and will be required to work hours consistent with this time zone.
