In this workplace coordinator role, you will be the face of the New York office and regularly interact with the C-suite execs, board members, and our partners. As the primary point of contact in the office, you will represent Recursion to all visitors to the site. New York is a smaller office without the full support staff we have at our HQ in Salt Lake City. For that reason, your job description is broad and covers many areas. You will manage the day-to-day functions of the office, facilities, food vendors, janitorial, and shipping and receiving. You will also be the primary contact for the landlord regarding any building issues that may need to be addressed.

Please Note: This position is located in the Hudson Yards area of New York City. This will be a part-time temporary contract (20-25 hours per week) role for 3 months with the option to extend beyond that initial offering. 

The Impact You’ll Make

  • Responsible for administrative duties, project management, and process development in support of site operations and safety. Responsible for communication with the New York Site Slack channel regarding anything relevant to safety and operations.
  • Manage site logistics and vendors, including office management duties, budget, and record keeping. As well as logistics for lunch and snack services as well as laundry and cleaning.
  • Cross-functional coordination of site and office management activities, including Supply Chain, Administration, Site Management and other teams as needed. Act as the New York onsite contact for employees at other locations.
  • Develop, coordinate, and assist programs for a variety of different project areas, including basic Safety and Compliance, Facilities, and Operations. Maintenance of onsite first aid and Aed supplies. Assisting EHS with all city and state requirements.
  • Responsible for the planning, scheduling, and coordination of facility repairs, upgrades, or other required work. Responsible for frequent facility checks and tracking of any issues. Work with Workplace Environment Facilities and vendors to resolve issues. You will be the only facility representative onsite.
  • Responsible for purchasing and stocking office supplies as well as other supplies needed in the office.
  • Manage deliveries and visitors to the site. Manage the building badge entry system. Obtaining and tracking visitor badges. Assist with site security and ensure compliance with safety and security procedures.

  • You will be joining the Workplace Environment team at Recursion, which supports lab and site operations, facilities management, EH&S, expansion facilities, and other necessary areas across all Recursion sites. You’ll collaborate with your teammates across departments and countries to expand and enable Recursion to continue to grow and succeed in our mission to decode biology.

The Experience You’ll Need

  • 2+ years of support of administrative services, office or project management, and/or site operations.
  • Excellent organizational and communication skills.
  • Independent and self-motivated.
  • Effective multi-tasking, recording, and information management skills.
  • Project development and coordination skills for a variety of different project areas.
  • Ability to work with teams at various management levels.
  • Capable of initiating, developing, and implementing programs/processes in a variety of Workplace Environment and Hospitality areas.
