A Day in the Life

JOB TITLE:               Facilities Admin. Specialist                                   

DEPARTMENT:     ENTERPRISE RISK & FACILITIES – APAC – JAPAN Facilities & Operations 

LOCATION:              Tokyo HQ         

Main Purpose of Job

Performs facility and security related tasks and activities of Facilities & Operations department in Japan.

Main Responsibilities

1.Facilities related jobs

  • Support for Facilities & Operations team members
  • General facility operations at the Tokyo HQ
  • Management of the mail room at the Tokyo HQ
  • Management of inquiry items to Facilities & Operations
  • Management of AV-equipment and MFD
  • Contact with building management company of Tokyo HQ’s building
  • Document control for external storage
  • Waste management
  • Vendor management

2.  Security related jobs

  • Arrangement of building cards and our exclusive area cards and management of security cards for offices nationwide
  • Management of exclusive area security access setting
  • Extract of access data for major offices in Japan and submit it to APAC monthly
  • Other general security-related jobs

3.  Support jobs to Facilities & Operations team

  • Payment related jobs (SAP Ordering Services - Ariba)/ Invoice processing)
  • Support to team members

Job Qualifications

  • Bachelor degree (4-year university degree) or equivalent degree
  • At least 3 years of experience in General Affairs or office operations related jobs
  • Experience working in a foreign company is a plus.
  • Good understanding in managing and preparing budget
  • Good English skills

Job Experience

  • Experience in RFP
  • Experience in operations such as office relocation
  • Experience in cost saving
  • Experience in administrative work

Skills/ Competencies

  • Good Communication and interperson skills
  • Cooperativeness and Flexibility
  • Strong problem-solving and decision-making skills
  • Strong in building business case, leveraging on Microsoft tools e.g. powerpoint, excel, Power BI
  • Interested in IT-related
