SUMMARY
This position supports financial and administrative operations within Charlotte Water’s Engineering Division. The position is one of three administrative roles on the Engineering Administration Team and reports to the Administrative Lead. By supporting established financial and HR processes led by department-wide functional teams, this position operates with a high degree of individual responsibility in managing day-to-day financial and administrative workflows for the Division.
The hourly rate for this position is $31.98 - $35.54 USD hourly commensurate with experience.
ESSENTIAL JOB FUNCTIONS:
Serves primarily as financial, but also administrative support for Charlotte Water’s Engineering Division.
Responsible for financial functions in Workday and Unity Construct (our project management software) associated with:
o Timely entering requisitions
o Processing purchase order change orders
o Receiving invoices for payment
o Managing the accounts payable discrepancy queue for invoice discrepancies
o Processing requests for checks
o Holding a procurement card (P-Card) & reconciling P-Card transactions
o Checking the status of invoices for project managers and vendors

Responsible for providing administrative support such as ordering and stocking mail room and breakroom supplies, ordering Charlotte Water-branded uniforms and promotional items, sorting mail on a regular basis, and arranging catering.
Responsible for processing payments for various employee needs, including trainings, registrations, and membership renewals.
Responsible for submitting travel and other reimbursement requests on behalf of employees (at Charlotte Water, requests are entered and managed by administrative staff rather than employees).
Responsible for providing general administrative information to staff. Attend staff and other meetings and stay up to date on software enhancements and policy/procedure changes. Communicate City, Department, and Division policies and changes to leadership and staff.
Assist Chief Engineers, Division Managers, and Project Managers with tracking information and preparing reports.
Support process documentation, workflow evaluation, and continuous improvement efforts within the Division’s administrative and financial functions.
Participate in special projects and cross-functional initiatives as assigned by the Administrative Lead.
Responsible for occasionally depositing checks and notarizing documents.
Assist in planning and managing divisional meetings and special events.
Performs other related job duties as assigned.
MINIMUM REQUIREMENTS TO PERFORM WORK:
High school diploma or GED with three (3) years of directly relevant experience OR
Two (2) year College Degree with one (1) year of direct experience
Licenses, Certifications, or Registrations:
Requires a valid driver’s license.

Preferred Qualifications:
Experience with Workday or Unity Construct
Experience as a travel coordinator and/or making business purchases
Experience in the public sector
NC Notary Public license with eNotary registration
Experience with Microsoft Office Suite products
Experience preparing reports, presentations, or analytical summaries for leadership
PHYSICAL DEMANDS:
The work is light work and requires applying 10 pounds of force frequently exerting up to 20 pounds of force occasionally to move objects. Additionally, the following physical abilities are required: manual dexterity, grasping, handling, perceiving sounds at normal speaking levels, distinguishing among sounds, reaching, repetitive motion, speaking, talking, visual acuity in data and color, and walking.
WORK ENVIRONMENT:
Work is generally performed with an office environment and requires sensitivity to change and responsiveness to changing goals, priorities, and needs.
CONDITIONS OF EMPLOYMENT
The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.
