Position Overview
The Registrar is responsible for the administration, coordination, and communication of the student enrollment and attendance reporting process and student cumulative file management. This role is also responsible for accurate student database information and related reports.
Essential Functions
Responsible for the registration and withdrawal of students using registration system (School Mint) and student information system (Power School/Infinite Campus) while following process checklist provided
Requests records for new students transferring from other schools and reviews records received, notifying appropriate school staff as needed
Send student records to other schools upon request in a timely manner
Evaluates and verifies documentation submitted as required for enrollment
Responsible for the collection and entry of student data into school’s SIS (Power School/Infinite Campus) by importing data from enrollment system (School Mint) or manual entry when needed
Responsible for monitoring and verifying enrollments when submitted in SchoolMint
Generates reports, class lists, and enters attendance alerts
Maintains office and student cumulative files, keeping records current and following document maintenance guidelines
Processes any changes to student information in a timely manner following process guidelines
Maintains an orderly, organized, and presentable office space
Maintains grades and attendance databases and extracurricular activity records for all students
Maintains database of student schedules, runs schedule reports and adjusts student schedules as necessary
Processes and maintains daily student attendance records and ensures that all attendance from check in system (Raptor) is accurately reflected in student information system
Audits attendance daily to ensure accurate reporting
Prepares report cards by grading periods and sends report cards electronically
Collects and provides accurate enrollment numbers/information to the district office as requested
Provides information and assistance to new students and their parents, communicates regularly with families navigating the enrollment or re-enrollment process
Imports student list into Driveline system and prints Driveline signs to distribute to families
Answers and distributes phone calls as needed
Assists in the preparation of bulletins, school calendars, brochures and other announcements
Attends all required school events as assigned by building administrator
Generates word processing and spreadsheet documents
Assists with the day-to-day operations of the school
Attends all required trainings (online and in person)
Works with building administrator to develop back up plan for any absences and provide any cross training needed
KNOWLEDGE, SKILLS, & ABILITIES
Education, Licensure or Certification
High School Diploma or GED
Work Experience or Related Experience
2 years’ experience in a clerical setting, school setting preferred
Prior registrar experience preferred
Specialized Knowledge, Skills & Abilities:
Detail- oriented
Proficient in utilizing data based management system (preferable a student information system such as Power School or Infinite Campus)
Excellent organizational and time management skills
Proficient computer skills in Microsoft Office and Google Suite
Ability to remain self-directed as well independently seek out answers to questions
Excellent customer service and communication skills
Ability to learn new software programs as needed
Ability to constantly review policies and procedures to increase efficiency
Ability to work cooperatively with others

Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times
