This position will provide comprehensive support for office and campus events, which includes scheduling meetings for IT leadership, managing logistics, and maintaining office operations. Additionally, this position will assist with website updates while tracking website performance through analytics.
Essential Functions:
Office and Campus Event Support
- Schedule meetings for IT Leadership with internal and external constituents, including monthly department meetings and other meetings as required by standing committees within the department and its programs. Responsibilities include initiating meetings, managing logistics, and facilitating communication among faculty both within and outside the department.
- Provide support for the Information Technology division, greet and assist university guests and constituents, maintain a smooth-running office, and coordinate departmental operations including answering phones, providing information, routing calls, handling incoming mail, and preparing outgoing mail.
- Answer in-person and email inquiries from internal and external students, faculty, staff, and the public regarding established policies and procedures; answer routine inquiries; and schedule appointments, meetings, and events.
- Manage multiple departmental email accounts. Respond to appropriate inquiries and forward to appropriate contact when necessary.
- Responsible for maintaining perch offices and conference spaces, including inventory, cleaning, and assisting with equipment issues.
- Provide comprehensive logistical and operational support for events, ensuring smooth execution and delivering exceptional attendee experiences. Possible events include Campus Life Night, Laker Experience, Freshman Orientation and other events as required.
- Review and approve expenses for the assigned budgets, ensuring they align with budgetary guidelines.
- Responsible for the inventory and procuring of office supplies in the workroom and IT requests.
- Responsible for approving invoices as the cost center assistant for the appropriate assigned budges.
- Assist with creating facility work orders needed for all of IT.
- Perform other duties and projects as assigned.
Website and Communication Support
- Assist in maintaining and making basic updates to the Division’s website content to ensure accuracy and relevance.
- Maintain a comprehensive list of websites requiring updates and implement a strategy to coordinate with the relevant departments for necessary changes.
- Support the content review and creation of digital communications, including newsletters, emails, fliers, and social media posts.
- Collaborate with team members to develop engaging content for communications and websites.
- Help manage social media accounts, monitor engagement and respond to inquiries.
- Assist in conducting website analytics and preparing reports to track performance metrics.
Required Qualifications:
- High school graduate or equivalent.
- Minimum of three years of relevant work experience.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Demonstrated experience to successfully operate office equipment.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Ability to work under pressure and meet deadlines.
- Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
- Ability to successfully maintain positive intercultural and interpersonal relationships.
Preferred Qualifications:
- Higher education experience
- Experience in content management system.
- Experience in creating engaging content.
- Organized and attention to detail.
Supervision Received:
Receives general instruction from a designated supervisor but is generally expected to work independently.
Supervision Exercised:
Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
Salary: C3 Level. Minimum starting wage of $19.52 per hour.
