We are seeking an experienced, proactive, and detail-oriented Resource Operations Specialist to drive the financial, administrative, and operational coordination linked to the delivery of consultancy services to the European Institutions. With a strong background in outsourcing management, you will play a central role in ensuring the efficient execution of framework contracts through robust invoicing, reporting, and operational follow-up. You will work closely with the Account Director, provide support to other team members, and ensure that internal standards and client expectations are consistently met. 

Key Responsibilities 

  • Act as a key operational point of contact, to the clients and internal and external consultants, ensuring seamless coordination across finance, procurement, recruitment, and contract teams. 

  • Lead the review and validation of supplier invoices, ensuring full compliance with contractual terms, framework contract rules, and internal procedures. 

  • Oversee and coordinate the preparation of client reports and invoice issuance, ensuring accuracy, timeliness, and alignment with project and contractual requirements. 

  • Monitor and manage consultant timesheets, ensuring accuracy, completeness, and timely submission, while guiding junior colleagues in related administrative tasks. 

  • Collaborate closely with the Account Director, Project Managers, and Finance teams to track project profitability, financial performance, and operational risks. 

  • Organize, manage, and quality-check documentation for project closures and audits, ensuring proper compliance and traceability. 

  • Create, review, and refine professional presentations and internal reports (e.g., PowerPoint) for internal and client use. 

  • Support and supervise recruitment processes, coordinating candidate screening, interview scheduling, and documentation management, while providing oversight to junior administrative staff. 

 

Your Profile 

  • Minimum 5 years of experience in administrative, financial, outsourcing, or project support roles, ideally within a consultancy or service-delivery environment. 

  • Proficient in Microsoft Office Suite; experience with ERP systems (e.g., Deltek, SAP) is a strong plus. 

  • Fluent in English (spoken and written). 

  • Strong attention to detail with excellent analytical and problem-solving skills. 

  • Highly organized, structured, and able to manage multiple priorities under tight deadlines. 

  • Experience or strong interest in recruitment coordination or HR support is desired. 

  • A proactive team player with the ability to work independently and support junior colleagues. 

  • Fast learner, eager to further develop skills and assume increasing responsibility. 

  • Comfortable collaborating with cross-functional teams (finance, procurement, recruitment, contracts). 

  • Familiarity with the European Institutions and framework contracts is a strong advantage.
