ROLES & RESPONSIBILITIES

Scope of the Role

  • Responsible for logistics matters on all products imported into Vietnam and Cambodia (<2%) markets
  • SME for Custom & Trade compliance
  • Responsible for Instrument and Spare Parts planning in collaboration with Commercial and Service team
  • Collaborate with commercial team to work out the demand requirement for reagent, consumable, cals & control and coordinate with Supply Planner for the require inventory
  • In collaboration with regulatory, navigate challenging regulatory environment around import and customs approvals
  • Drive cost savings initiatives related to supply chain including and not limited to freight cost and network optimization

Core Job Responsibilities:

Logistics, Importation and custom & trade

  • Manage 3rd party vendor on warehousing, transportation and logistics operation
  • Manage with custom broker on all inbound logistics including HS coding
  • Collaborate with Source Distribution Center or affiliate Distribution Center to ensure inbound shipment and outbound orders are timely process per agreed service level agreement
  • Collaborate with Singapore Zuellig on labeling requirement for Spare Parts
  • Ensure on-time arrival of shipments, smooth customs declaration and goods to be saleable in a timely manner
  • Collaborate with distributor or stakeholder to ensure timely disposal of stock and idle instrument
  • Coordinate with QC/QA to improve packaging quality, shipping quality. File and monitor claims with shippers/insurance for damaged goods
  • Coordinate and monitor product recall
  • Optimize end to end supply chain from source to sub-distributor
  • Review and initiate cost saving or process improvement to achieve GMI target
  • Manage and review miscellaneous expenses and claim: domestics transport, obsolete stock, importation fee, tax variance

Capital Asset and Contract Management

  • Manage instrument forecast and demand in collaboration with Commercial Operations
  • Drive importation process to ensure timely delivery of instruments and parts, particularly managing importation and regulatory issues
  • Manage instrument inventory to optimize cost and utilization
  • Monitor sub-distributor contracts to minimize risk to instrument ownership

Demand planning & Inventory control:

  • Coordinate with service team to manage end to end demand/supply planning for spare parts
  • Coordinate with commercial, marketing and finance to work out and align on demand forecast for reagent to meet To-market-sales
  • Coordinate and share the demand forecast to Supply planning
  • Calculate and minimize the write off risk of slow moving & short shelf life stock by liaising with related stakeholders: distributors and/or marketing and/or commercials
  • Ensure high level of forecast accuracy on reagents and instruments

Regulatory:

  • Keep track on product list, license, and regulatory requirements.
  • Analyze risk and impact from regulations update, quality issue or supply issues, propose and execute mitigation plans

Cost Saving and Gross Margin Improvement (GMI)

  • Review and initiate cost saving or process improvement project to achieve GMI target
  • Manage and review miscellaneous expenses and claim: domestics transport, obsolete stock, importation fee, tax variance

Commercial Collaboration and Delivery:

  • Monitor new products launching, promotional items and products transition or   discontinuation plans (phase-in/phase-out)
  • Highlight capacity, backlog issues and evaluate business impact and ensure mitigation plans are in place
  • Ensure customer service as per specified in the contract are met, solving problems quickly, making customer’s issue a priority
  • Handle & find root cause and solutions for customers’ complaints related to supply chain and delivery service in NPS system
  • Represent Supply Chain SME and collaborate with Comm’l on tender requirement

Operational Excellence:

  • Collaborate with Commercial and 3rd party to establish clear KPIs (DOH, OTIF, distress and forecast accuracy etc) and apply them in collaboration with Commercial operations
  • Provide basic process training for distributors
  • Respond to common inquiries from distributors & customers
  • Advise distributors on various matters: packing, storage & shipping condition, documents for tender submission, quality issues

MINIMUM BACKGROUND/ EXPERIENCE REQUIRED

Qualifications/Experience:

  • Minimum 8 years of Supply Chain or Logistics experience in Demand/Supply Planning or Logistics with 2 years people management in medical device; healthcare; pharma or Diagnostics (preferred) industry
  • Experience in custom & trade with knowledge of HS coding
  • Experience in warehouse management (in-house or 3PL)
  • Solid understanding of inventory management practices and procedures.
  • Strong statistical & analytical knowledge
  • Proficiency and strong in using excel spreadsheet
  • Excellent written and verbal communication skills
  • Capable to multi-tasking and meeting strict deadlines

MINIMUM EDUCATION REQUIRED

  • Bachelor’s degree in business, logistics, supply chain, engineering or other relevant fields.
