Observe by Snowflake is looking for someone with adaptability and aptitude to join our team and elevate the business through proactive and holistic support for the Observe leadership team. In this role, you will support Observe's Head of Engineering, Head of Product and Head of Technology.
As an Executive Assistant, you’re at the center of the team’s business operations and activities, and are relied upon to keep the team moving in a positive, forward direction. You are organized, dependable and able to keep up with changing business needs - using your understanding to strategically support and prioritize your team’s projects. You also have communication skills needed to interact with a variety of people and job functions including customers, partners and vendors. In this role you will work closely with a team of Administrative professionals and manage the day-to-day operations of the office and help keep teams efficient, happy and productive.
Responsibilities:
Perform an extensive array of core administrative tasks:
Strategic Calendar & Resource Management: Intentionally manage the executive’s time, ensuring their schedule strictly aligns with high-priority business objectives.
Meeting Facilitation & Accountability: Attend critical product and engineering meetings to drive the agenda, capture strategic decisions, track action items, and enforce accountability across the leadership team.
Manage team budget, travel and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders.
Manage complex international travel and strategic event coordination considering company priorities, cross functional partnership, global presentation schedule, and onsite logistics.
Clearly communicate with your team, org and company through transparent and clear comms that keep teams both informed and aligned, such as note taking in a staff meeting, tracking action items, weekly newsletters, org-wide comms and All Hands.
Design High-Impact Events: Plan, organize, and execute high-value strategic events, such as leadership offsites, hackathons, and strategic workshops, ensuring clear agendas and actionable outcomes.
Drive Strategic Planning & Alignment: Partner with Product and Engineering leadership to drive annual and quarterly planning cycles, including execution tracking of OKRs (Objectives and Key Results).
Own the Operational Rhythm: Facilitate the P&E organization's leadership cadence, including leading Quarterly Business Reviews (QBRs), monthly strategic check-ins, and weekly leadership meetings.
Manage External & High-Level Engagements: Serve as the primary liaison for strategic external engagements, including coordinating complex briefings with key enterprise customers, technology partners, and analysts.
Strategic Partnership & Ad-Hoc Execution: Partner directly with the executive team to define, scope, and own ad-hoc, medium to large-scale projects. Serve as a catch-all for high-priority initiatives that fall outside standard operational processes.
Team Leadership: Mentor, guide, and potentially manage the broader administrative, program management, or operational staff within the P&E team.

Skills & Experience:
Bachelor’s degree and 7+ years of relevant work experience -- direct executive support, project management, and event planning experience.
Preferred experience supporting Product or Engineering leadership.
Proven ability to manage time efficiently and prioritize multiple stakeholders, functions and tasks.
Excellent communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships.
Experience implementing systems, processes, or programs that increase efficiency.
Positive, can-do attitude and willingness to jump into a myriad of projects. Resourceful self-starter that is curious, asks questions and can make logical, proactive decisions in a fast-paced and demanding environment.
Extreme attention to detail, organized and responsive.
