ROLE SUMMARY
The GH&SI Sr Associate role is a critical member of the GH&SI Team who is responsible for handling multiple priorities supporting key projects and ensuring that deadlines and obligations are met across the department. The position will oversee and manage operational aspects of ongoing projects, acting as a liaison between external partners, project teams and line management (e.g. World Economic Forum, United Nations General Assembly, Global Health Fellows teams). The role will support our programs by managing the review of the status of the project, budget, schedules and preparing status reports. The Sr Associate will also support the Director of Operations and GH&SI leadership team members in delivering commitments and supporting the day-to-day operations for the team.
ROLE RESPONSIBILITIES
Project Management and Execution
Assist with the planning, implementation, and monitoring of GH&SI programs, ensuring adherence to project timelines, budgets and deliverables.
Leads operational oversight for key internal/external stakeholder meetings and events (virtual and in-person), including direct coordination liaison with external stakeholder/government teams, and other CA/Pfizer divisional teams (e.g. United Nations General Assembly, Gates Foundation CEO Roundtable events, World Economic Forum)
Manages end-to end-operational processes for complex GH&SI projects including Pfizer’ strategy and engagement with World Economic Forum; Gates CEO Roundtable; international trips for GH&SI team and ELT and senior management Learning Journeys and U.S./International excursions. These projects are very complex logistically and require understanding of key public affairs and policy issues, proven exceptional independent judgement, decision making skills, communication and planning skills and the ability to interact with and on behalf of senior leaders.
Creates and manages digital system to catalogue all senior leader briefing memos and background materials prepared across team for consistency and for future reference.
Coordinate and oversee project activities, including resource allocation, procurement, logistics, and reporting to ensure smooth program implementation.
Assist in the planning and coordination of meetings, conferences, and workshops related to global health programs. This includes venue selection, agenda development, participant coordination and logistical arrangements.
Proactively coordinates internal Global Health goal setting process including objective setting process; prepares and edits meeting agendas, minutes & action items, reports and presentations using Microsoft Office software and other tools such as Webex and Teams.
Provides operational support and project management of Global Health Fellows and Team implementation virtually and in person.
Provides support to help plan, coordinate and execute the Health Equity in Action Summit as sponsored by the Multi Cultural Health Equity Collective.
Budget and Digital Responsibilities
Collect and aggregate annual Operating Plan data as well as lead periodic financial performance reviews with GH&SI budget holders.
Manage T&E budgets as well as expenses related to project spend with consultants, memberships and other contracts.
Manage GH&SI subscriptions and make recommendations for access to media and other policy publications.
At times, will create and monitor purchase orders and funding requests in Ariba/GFS.
Proactively tracks digital trends and ensure team is trained and utilizing all new applications through training to drive efficiency and effectiveness of work.
Team Management
Lead on-Boarding and off-boarding of new GH&SI colleagues, including maintaining distribution lists and all on-boarding materials
Lead the continuous improvement process by sharing best practices; working with various levels, including those of a complex, cross divisional nature; works well with staff located globally across balances competing priorities.
Develop process and procedural documents as needed; handles correspondence / documents of confidential nature and where appropriate respond to, create, compose.
Applicant must have a Bachelor’s degree with three years of relevant experience; OR Master’s degree with one year of relevant experience; OR Associate's degree with six years of relevant experience; OR eight years of relevant experience with a high school diploma or equivalent. Relevant experience includes working in a global health related role in a fast-paced dynamic environment managing complex projects.
Proven ability to manage day to day planning and operational activities including strong project, time management and organizational skills
High level of proficiency with computers and various systems/platforms: Microsoft Outlook, Microsoft 365
Demonstrated ability to identify priorities and exercise exceptional judgment in accomplishing work in appropriate priority order, based on own assessment of urgency and importance to ensure deadlines are met and leaders are prepared
Exceptional written and verbal communications skills
Professional maturity and presence with demonstrated ability to show good judgment and discretion
