ROLE SUMMARY

The Customer Engagement Training Program Coordinator provides project management coordination and support to the Customer Engagement Training Team to plan and deliver World-Class Customer Engagement Training programs and projects to the commercial organization. Working closely with the team and internal and external cross-functional functions (i.e. agencies and vendors) , the role performs a variety of project management and coordination activities in assigned programs, projects and workstreams in support of Customer Engagement Training needs. The role is also responsible for working with the Team Lead(s) in managing training platform development, training program planning and execution, and meeting planning and implementation including agendas, logistics coordination, and output for meetings. The role is also responsible for coordinating budget management, PO, vendor management and external partners for the programs assigned.

The role requires strong analytical ability and project management skills, knowledge of business/finance analysis tools and methods, and proficiency with PPT, Excel and PO processes in both US and global settings.  

ROLE RESPONSIBILITIES

Contract/Agreement and Budget Management

  • Work with Legal and/or Contracts and Outsourcing, when needed, to develop and execute consultant agreements, service level agreements, program schedules, and Confidential Disclosure Agreements; performs invoice tracking, routing and approval, and supports other project management financial activities as needed.
  • Develop financial forecasting for programs in coordination with central L&D financial and operational enablement teams
  • Execute day-to-day budget activities - including PO creation, tracking and system maintenance
  • Manage all activities related to CEP, FMC, Ariba, Engage, VYTIS
  • Track and report performance of expense, meeting, and operating budgets related to projects and programs assigned
  • Provide finance deadlines & milestones
  • Manage accrual log & track invoice documentation

Customer Engagement Program (CEP) Management

  • Own CEP program and project entries (Review contracts, SOWs, collaboration agreements, AE reporting)
  • Align with legal during contract development
  • Ensure that all requirements are met associated with POs
  • Own all aspects of enabling, monitoring, closing, reporting, and auditing of CEP in alignment with project and program leads
  • Monitor reporting and compliance associated with contracts to ensure exact alignment with CEP/VYTIS entry

Enterprise Meeting & Project Management:

  • Provide support to the Team Lead(s) to coordinate internal and external meetings, programs, partnerships and activities
  • Provide meeting management support including scheduling meetings, developing agendas, gathering and distributing meeting materials, producing meeting minutes, following up on action items, and storing all materials appropriately on the relevant SharePoint/Teams site
  • Develop program or project plans, ensuring that all activities and resources are identified, are appropriately organized to deliver project objectives within desired budget, time and quality parameters.
  • Identify and manage changes to the scope of the project or program as needed.
  • Evaluate risks, issues, dependencies, and constraints associated with the projects and programs, and design mitigating solutions as needed.
  • Develop and administer surveys in coordination with the project and experience design leads to facilitate Lessons Learned and Best Practice Meetings

 Training Operations

  • Manage team lead(s) calendar
  • Conduct Internal and External meeting planning activities
  • Make training related travel arrangements
  • Manage and review expenses with finance contact
  • Work closely with the Enablement Lead(s) to coordinate Master Calendars across BUs and teams for needed Customer Engagement Training programs and projects
  • Actively participate in weekly team calls, organize agenda, and track actions where needed
  • Develop presentation
  • Develop and maintain SharePoint and Teams sites as necessary

Training Administration

  • Work with assigned PX partner on new hire roster management
  • Register new CFCs for training
  • Assign required training activities as outlined in the training curricula
  • Track training completion data
  • Maintain and update training records and associated databases and reports
  • Provide basic learner support for online learning platforms (LMS, PLA, MEL, etc)
  • Support development and maintenance of exams in QMark
  • Manually track completions as required
  • Monitor the training logistics mailbox
  • Provide basic troubleshooting for access issues to training infrastructure.

Training Logistics

  • Manage learner communication before, during, and after courses
  • Manage logistics and provide support for live classes including sourcing of space, facilities booking, meal planning, travel logistics, materials management, and expense tracking
  • Support on site resources in live training activities
  • Provide support on site as needed for large classes or training sessions

BASIC QUALIFICATIONS

  • Applicant must have a HS Diploma (or Equivalent) and 6+ years of relevant experience
  • A minimum of 5 years of experience in budget/expense management is required, with demonstrated history of staying on or under budget.
  • Strong track record achieving and surpassing personal and team goals
  • Proven record of implementing projects and process improvements with a continuous improvement mindset
  • A track record of holding self and others accountable to meeting commitment, accepting responsibility for delivery against deadlines

Technical Skills Requirements:

  • Traditional analytical skills (analyzing data trends for use in reports to help guide decision making)
  • Advanced Microsoft Office capabilities, particularly Excel, PowerPoint and Word
  • Knowledge of various financial systems and financial reporting aspects (ePA3, Ariba & Taulia-accounts payable system)

The salary for this position ranges from $34.71 to $60.85 per hour.
