Summary of the role:

Leads administration and governance of enterprise collaboration tools, ensuring security, compliance, and license optimization.

Drives process standardization and portfolio reporting excellence across Agile and Waterfall environments.

Partners with global stakeholders as an individual contributor to deliver enablement, vendor management, and advanced tool support.

This position is based out of Bangalore location (hybrid working model) and you will report into Director, Agile & PMO Governance, Digital & Technology

About the role:

Tool Administration & Governance

  • Administer, configure, and support enterprise collaboration and delivery tools including Atlassian (Jira & Confluence), Smartsheet, Miro, Airtable, and SharePoint.
  • Manage license allocation, renewals, audits, and usage optimization in collaboration with vendors, procurement, and finance teams.
  • Ensure compliance with SLAs, governance policies, and security standards.
  • Implement and maintain access controls, permissions, and security configurations in partnership with IT and Identity & Access Management teams.

Process Excellence & Standardization

  • Define, document, and maintain standard operating procedures (SOPs) for tool usage and administration.
  • Standardize project intake, tracking, and reporting using Smartsheet dashboards, workflows, and automation.
  • Drive data integrity, consistency, and operational efficiency across project and portfolio reporting.
  • Develop and refine AFP (Annual Financial Planning) and PPM (Project Portfolio Management) processes based on continuous feedback and evolving business needs.

Stakeholder & Vendor Collaboration

  • Partner with PMO, IT, Security, and global business stakeholders to ensure tool readiness for enterprise-scale initiatives.
  • Act as the primary vendor point of contact, supporting contract renewals, negotiations, and cost-optimization initiatives.

Enablement & Support

  • Ability to prioritize and manage multiple projects simultaneously. (Waterfall / Agile).
  • Design and deliver structured training and onboarding programs for end users and new joiners.
  • Maintain comprehensive documentation, knowledge bases, and best-practice guidelines.
  • Serve as an escalation point for complex configurations, integrations, and advanced tool use cases.

About you:

Core Skills & Competencies

  • Strong verbal and written communication skills, with the technical acumen to engage effectively with engineering and quality teams and identify technical risks.
  • Ability to work independently and collaborate across multiple time zones.
  • Strong organizational skills, emotional intelligence, and experience coordinating work across multiple teams.
  • Solid project management capabilities, including planning, scheduling, and execution.
  • Knowledge of project management methodologies (Agile and Waterfall) and related tools such as Jira and Smartsheet.
  • Proven ability to prioritize and manage multiple initiatives simultaneously.
  • Demonstrated commitment to continuous learning and staying current with industry trends.

What We're Looking For

  • 7 to 12 years experience in Project Management.
  • Experience administering enterprise tools, including Atlassian Suite, Smartsheet, Miro, Airtable, and ALM platforms.
  • Experience with tool configuration, identity management, and license governance.
  • Experience working within PMO environments and familiarity with project and portfolio governance frameworks.
  • Excellent stakeholder and vendor management skills, with experience operating in a global, cross-functional environment.
