Work Shift
The Foundation Operations Specialist is responsible for advancing fundraising efforts through three key areas: Foundation Board, Operations, and team projects. This role manages all aspects of the Foundation Board of Trustees' operations, including developing a communication plan annually, trustee correspondence, meeting logistics, and follow-up needed. Regarding operations, this position is responsible for developing and managing campaign initiatives to ensure clear communication of funding needs, timelines, and role assignments, and also includes management of the Scholarship program. As an integral member of the Foundation team, the Foundation Operations Specialist collaborates with the team to reach its annual fundraising goals by leading a variety of key projects. This role is responsible for developing communications in an organized, efficient, and creative manner while managing confidential and time-sensitive projects. The Foundation Operations Specialist reports to the VP, Foundation Strategy & Growth.

Foundation Board Support
*Develop and manage a strategy for board member engagement, including the comprehensive Board communication calendar and all related correspondence.
*Manage all aspects of the Foundation Board of Trustees, including meeting logistics and follow-up items.
*Serve as the Foundation Board Secretary by drafting official meeting minutes, facilitating coordination with executives, and serving as the primary liaison for the Foundation Board and staff.
*Lead the process for ongoing analysis of board candidates' talents and abilities to align with the board's prioritized needs and pending vacancies.
*Plan and oversee all logistics for board meetings, including attendance, catering, and audiovisual needs.
*Develop and lead the coordination of orientation materials for new trustee onboarding, as well as the recognition process for outgoing trustees.
*Lead process to manage trustee giving, and lead Foundation team in the process for follow-up.
*Work closely with Foundation leadership to ensure seamless communication and material coordination with the System Board of Trustees.
Operations and Campaign Support
*Responsible for the project management and reporting of market/specialized campaigns and the progress toward goals. The Foundation Operations Specialist will ensure data is accurate, share findings via regular reports, and ensure plan and progress is in line with projections.
*Work closely with Foundation Comms and System Marketing teams as needs arise for new strategies and materials.
*Work across service lines and hospital markets to source information and create campaign plans that align with System strategy.
*Lead the process to collaborate with Individual Giving, Corporate Giving, Foundation Relations, and Operations teams to create and maintain gift/prospect pyramids to track potential donors as well as gifts secured.
*Develop a plan with events team and others on engagement of volunteers through Campaign events and activities. May include organizing and hosting volunteer meetings or providing materials to event staff to distribute.
*Lead and execute a successful Scholarship program strategy, including securing reviewers, managing the platform training, updating materials and reporting.
Foundation Team Projects
*Lead and manage the coordination of our bi-annual summits for the Foundation team and team Huddle and other meetings as needed.
*Take initiative to provide support for the team's ongoing efforts to reach fundraising and relationship goals.
*Manage the annual strategy map and lead discussion with leadership team on progress toward goals.
*Develop and maintain a collaborative working relationship with foundation team.
*Other projects as assigned.
*Demonstrate high standards and ethics and integrity.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
All certifications are required upon hire unless otherwise stated.
Minimum 5 years Experience in the non-profit sector, healthcare, executive communications, project management or similar. Required
Extensive computer experience with expertise in Word, Excel, Power Point and Raisers Edge.
Exceptional organizational and communication skills, both written and verbal.
Confident and accomplished in multitasking and prioritizing as well as efficiency working collaboratively with a broad team of colleagues and volunteers.
Ability to interface with senior leaders, physicians, community leaders, and volunteers.
