Performs payroll funding, taxability, tax calculations, tax payments, tax-reporting forms, and all means of electronic tax filing and data exchange. Manually adjust off-cycle changes with payroll, taxes or employee tax information.

JOB RESPONSIBILITIES 

Support

  • Ensures payroll system configurations are accurate and aligned with current federal, state, and local tax regulations and legislative requirements.
  • Accurately completes daily funding runs and wire transfers to third-party partners in a timely manner, ensuring compliance with all required deposit deadlines.
  • Collaborates with taxing agencies and resolves tax notices before any further P&I can be assessed by the agency.
  • Ensures associate tax set-ups and wage adjustments are accurately recorded in the payroll system and are yielding the correct tax withholdings.
  • Creates and reviews a variety of payroll tax reconciliation reports for data quality and assurance so as to withstand audit inquiries.
  • Assists with payroll tax filings and calculations to ensure balancing of payroll tax records.
  • Monitors and assists with the monthly, quarterly and annual tax filings
  • Requests SUI rates with state authorities for locations that are missing SUI rate letters.
  • Ensures that the tax reconciliation process yields accurate annual statements of earnings (W-2, W-2pr, T4s and RL1s).
  • Respond to associate requests or questions to assist them in answering their questions or concerns.
  • Proactively plans and communicates out of office schedules to avoid conflicts during peak tax seasons and high-visibility project deadlines.
  • Creates calendar invites and facilitates meetings to ensure critical understanding, alignment, and timely learning across cross-functional teams.
  • Maintains and communicates continuous project and to-do list updates and deliverables with clarity and accuracy as deadlines approach

Research

  • Investigates and resolves tax notices in a timely manner to minimize the risk of potential interest and penalty liabilities.
  • Reconciles tax filings between the 3rd party system and Workday ensuring quarterly tax filings are filed timely with federal, state and local taxing authorities.
  • Research and assists with efforts to implement new tax jurisdictions and legislative changes
  • Assists with the set-up and loading of pre-acquisition data related to mergers and acquisitions as well as assist with post-acquisition requirements that may involve investigating with taxing authorities’ necessary requirements to report such acquisitions.
  • Addresses internal payroll tax inquiries across departments by conducting thorough investigations and delivering full-circle resolutions.
  • Exhibits the ability to juggle and prioritize both urgent and non-urgent issues effectively while maintaining consistent progress.
  • Demonstrates ownership of inquiries, ensuring nothing short of complete and accurate resolution aligned with the original request.
  • Forecasts and anticipates upcoming regulatory changes even during low activity seasons to ensure proactive compliance positioning.

Software & System Testing

  • Assists leadership in the development and implementation of payroll business processes. 
  • Assist with test cases and plans in order to validate payroll system of record is computing and calculating correctly against expected configuration requirements.

Minimum Requirements

Education

  • Bachelor’s degree in accounting, finance, Business Administration or a related field.  Four (4) years of directly related experience will be accepted in lieu of a degree.
  • CPP Certification a plus
  • Canada Tax Experience a plus

Experience

  • At least five (5) years processing North America and Puerto Rico payrolls
  • Knowledge of North America payroll tax regulations a plus
  • Understanding of regulatory and legislative guidelines
  • Understanding of payroll, payroll tax, and payroll accounting

Knowledge, Skills and Abilities

  • Proficient with Excel and ERP systems
  • Advanced Excel skills including VLOOKUP, pivot tables, and manipulation of large raw data sets for tax reconciliation and reporting purposes required
  • Excellent documentation and communication skills required
  • Self-motivated, creative problem solver with good time management skills, the ability to meet deadlines and strong attention to detail
  • Able to clearly and confidently communicate with both internal and external contacts to successfully resolve requests and follow through with leadership
  • Ability to grasp concepts quickly and problem-solving skills
  • Ability to work independently and with the team members required
  • Able to multi-task and prioritize responsibilities
  • Self-directed mindset that anticipates operational needs and upcoming compliance shifts without being prompted.
