As a global function, Corporate Communications is at the forefront of many aspects of the firm’s strategy and helping to execute an ambitious programme of exciting activity.  The firm’s intranet is internal facing and central to enabling our people to best leverage the full breadth of the firm’s knowledge, information and resources to support in the delivery of excellent services to clients globally. 

The Intranet (HL Global) team have recently developed and delivered a new global intranet built on SharePoint Online and that also uses tools from the firm’s chosen ‘intranet-in-a-box’ supplier, LiveTiles.  The new intranet, coupled with improved search, also utilizes other tools to ensure content continues to effectively be developed, managed and governed to support the needs of our people globally.

Working closely with over 550 content editors, the team is responsible for supporting an array of content development and management requests, implementing technical solutions, and training and embedding best practice.

Role Overview

We are seeking a talented and enthusiastic team member to support a number of intranet operational and content life-cycle management activities to ensure the firm’s intranet, HL Global, has robust intranet content, management and governance processes in place, and provides easy access to trusted content whether browsing or searching.

The candidate should have experience working on intranets and other internal knowledge and collaboration tools used within a professional services context.  The role-holder will use and have experience in SharePoint Online, Search and, ideally, other supporting intranet management technologies.  The role will chiefly involve liaising with content owners and editors at all levels across the firm to support a range of content development and life-cycle management requests, processes and needs.

Key Responsibilities / Accountabilities

  • Support the development and maintenance of intranet content across the firm, including office, practice, business team and other community sites

  • Maintain and manage day-to-day intranet support requests received and take action to complete and resolve

  • Support operational processes to ensure intranet content is effectively owned, managed and maintained e.g. starters/leavers, governance module, broken links etc.

  • Provide support and guidance to the global intranet content owner, editor and user communities in the development of intranet content, including dealing with enquiries

  • Monitor and use intranet checklists and guidelines to support content management best practice and provide advice to editors as needed (e.g. copyright, best practice, page templates and general quality standards)

  • Utilize reports and undertake analysis for the team and the wider business to assist in understanding how content is used, support content life-cycle management needs, and identifying trends or making suggestions to ensure accuracy and currency of trusted information

  • Support troubleshooting, testing and issue resolution working closely with team members, IT and other teams to ensure all enquiries are seen through to conclusion

  • Promote the use and benefits of the intranet to new and existing Hogan Lovells employees

  • Contribute to the creation, review and maintenance of training materials and end-user guidance and communications, including editor updates, user FAQs, promotional materials etc

General responsibilities

In addition to the key responsibilities outlined above, the Intranet Analyst  will:

  • Provide support to and work closely with the Head of Intranet and other team members to ensure intranet management needs are progressed and effectively delivered

  • Contribute ideas and suggestions for the maintenance and development of the intranet, including being curious about emerging capabilities and technologies to enable the intranet to continuously improve

  • Participate in our Responsible Business program

Person Specification

Qualifications , Experience and Training

Essential

  • Degree level qualification

  • Experience working with SharePoint Online

  • Experience of intranet content life-cycle management and governance

  • Experience of supporting users in using technology systems

  • Knowledge of the application of classification, taxonomy management and information architecture

  • High level of IT literacy

  • MS 365 experience

  • Legal or professional services experience

Desired

  • Information science or management qualification

  • Experience working with search, including logic, rules and analytics

  • Experience of reporting tools and analysis, ideally Cardiolog and/or Cognillo

  • Experience of intranet-in-the-box solutions and how they are managed on top of SharePoint Online

  • International experience
