General Summary
The Business Development Coordinator supports the Head of Business Development and Business Development team by ensuring clear, consistent coordination across licensing, publishing, distribution, and strategic partnership initiatives. This role is responsible for maintaining deal infrastructure, tracking partner activity and agreement terms, and facilitating efficient communication between internal teams and external partners. The Business Development Coordinator plays a critical operational role in supporting ongoing partner relationships and the execution of licensing, publishing, and distribution agreements, while working closely with marketing, creative, finance, and legal teams.
Job Functions
- Facilitate day-to-day communication with external partners including licensees, publishers, distributors, sales agents, and strategic partners, ensuring timely follow-ups and clear coordination on active agreements.
- Support the Head of Business Development and business development team members, including the Publishing Project Manager and the Licensing & Business Development Specialist, with meeting preparation, agendas, follow-ups, documentation, and maintenance of deal-related records and materials.
- Track the status of licensing, publishing, distribution, and partnership agreements, including key milestones, deliverables, renewal dates, and expiration timelines.
- Partner with the Licensing & Business Development Specialist to administer licensing management software and related systems, including maintaining partner records, entering agreement terms, tracking product and publishing submissions and approvals, and generating regular performance reports.
- Coordinate the review of consumer product and publishing-related submissions from partners in collaboration with Creative Marketing team and relevant internal stakeholders, consolidating feedback and facilitating approval workflows to ensure brand alignment.
- Support publishing initiatives by coordinating schedules, deliverables, and partner communications related to book development, distribution timelines, and publication milestones.
- Support the collection, review, and tracking of royalty reports for licensing and publishing agreements in coordination with finance, ensuring reports are submitted on time and align with contractual terms.
- Coordinate delivery of creative assets, graphics, manuscripts, and audio-visual materials to partners as required to support licensed products, publishing projects, and partnership obligations.
- Maintain organized records of partner communications, submissions, approvals, contracts, and performance data to support internal visibility and informed decision-making.
- Track and manage on-site inventory of consumer product development samples, publishing proofs, VIP materials, and promotional items related to licensed, publishing, and partnered initiatives.
- Collaborate closely with marketing, brand management, creative, legal, finance, and other business development team members to support cross-functional execution of licensing, publishing, and partnership initiatives, while maintaining clear role boundaries between commercial operations and marketing execution.
Qualifications
- 2-3 years of relevant work experience in marketing and brand management; experience and familiarity with distribution, publishing, or merchandise licensing business models preferred.
- Demonstrated ability to multi-task, prioritize, work under pressure and meet deadlines in a fast-paced environment.
- Excellent written and verbal communications skills with the ability to interact with internal departments and external agencies always demonstrating a high degree of professionalism.
- Ability to work both individually and collaboratively.
