Role purpose

The Retail Coordinator provides essential support to the Retail Manager and team in the execution and proficiency of the centre’s retail engagement strategies. This role assists in coordinating day-to-day operations for retailers, communicating effectively, handling ad-hoc tasks, and fostering positive relationships with the retailer portfolio in the centre. The Retail Coordinator supports leasing storage spaces and assists with budget management to ensure smooth operations and operational efficiency. The role is responsible for coordinating information, resources, and retail support initiatives, contributing to the success of individual retailers and the overall growth and performance of the shopping centre.

Key Accountabilities

Retail Coordination  

  • Assist in the onboarding process for new retailers, including orientation and integration into the shopping centre.
  • Coordinate with store managers to address operational issues and ensure compliance with centre policies.
  • Facilitate communication between centre management and retailers.
  • Manage storage license and hold state relevant Real Estate License as required.

Customer Service

  • Monitor feedback and address concerns or issues raised by customers with the retailer, in a timely manner.
  • Support initiatives to enhance customer experience, including organising events and promotions.

Operational Support

  • Conduct regular inspections of retail spaces to ensure they meet cleanliness and operational standards.
  • Where required, support the implementation of visual merchandising standards across the shopping centre.
  • Assist with inventory management and stock control for common areas if applicable.

Reporting & Administration

  • Prepare and maintain reports on retail performance, tenant feedback, and other key metrics.
  • Update and manage records related to tenant agreements, maintenance requests, and other relevant documentation.
  • Assist with the preparation of budgets and financial reports related to retail operations.

Tenant Relationships

  • Build and maintain positive relationships with retailers, addressing their needs and concerns effectively.
  • Organise and conduct regular meetings with retailers to review performance and discuss any issues or opportunities.

Experience & Capabilities

ESSENTIAL EXPERIENCE (what you have done)

  • Administrator with some experience ideally in the retail or customer service industry.
  • Experience using the Microsoft Office suite, including Outlook, PowerPoint, Excel and Word, with experience in accounting systems such as JD Edwards would be advantageous but not essential.

CRITICAL KNOWLEDGE (what you need to know)

  • Basic understanding of retail legislation, leases and retail fundamentals.
  • Basic financial acumen and understanding driving value and commercial results.
  • Known for actively contributing to a positive environment within the team, thriving in a fast-paced environment and a customer service ethic that is second to none.

  • Outstanding interpersonal and strong verbal and written communication skills.
