The primary responsibilities of the Booking & Premium Experience Coordinator will be to provide administrative and clerical support to the Toyota Arena Booking and Premium Departments. The Booking & Premium Experience Coordinator will assist in ensuring the accurate flow of information between the Booking and Premium department and other venue departments as well as clients. The Booking & Premium Experience Coordinator will be responsible for servicing full-season suites, event suites and group sales. Candidate must be an initiative-taker, highly motivated, extremely organized, efficacious, and have a great personality.
Essential Coordinator Duties and Responsibilities
- Provide administrative support to the Toyota Arena Booking and Premium Experience Departments, including, but not limited to, electronic/email correspondence, phone correspondence, schedule meetings, management of sales database, process expense reports, department purchase orders, check requests, travel itineraries, maintain department files, records, and supplies.
- Maintain all event show folders with agreements, Certificates of Insurance, and general event correspondence, including final artist and venue settlement information.
- Assist with calendar avails and holds.
- Assist with drafting show offers, show pro-formas, P&L reports, and budget management as needed for events.
- Assist with artist research, artist gifting, and shipment of artist gifts when necessary.
- Assist in the creation of memorable venue experiences for artists, tour personnel, promoters, agents, managers, and premium experience clients.
- Monitor on-sale ticket counts, daily ticket counts, and final show counts.
- Research and prepare information and execute presentations for meetings, promotional events, or as requested.
- Prepare and maintain industry research reports, spreadsheets, etc. as directed and complete special projects and duties upon request.
- Process documents of a moderately complex and confidential nature such as event calendars, venue costs, deal point memos, and confirmation memorandums.
- Prepare and proofread correspondence and other materials.
- Maintain department historical data and records.
- Develop and maintain a productive working relationship with all facility departments.
- Follow up, when necessary, with Licensees, Marketing, Ticketing, Legal, Event Services, Operations, Sponsorship, Food & Beverage, and other facility departments to ensure that requests are carried out and activities are coordinated.
- Support all aspects of events from initial bookings to post-event information as well as day of event on-site support as needed by the booking and/or the premium sales departments.
- Develop new and maintain professional relationships and good rapport with new, existing, and prospective clients.
- Identify prospective clients within the market.
- Conduct site tours of Toyota-Arena and other ASM Facilities.
- Develop and maintain accurate, current, and comprehensive knowledge of premium experiences offered at Toyota Arena and other ASM Facilities.
- Thoroughly document information relating to contacts and requirements of existing and prospective clients.
- Assure client files and database are properly organized with current information using the department's filing procedures.
- Assist with the implementation of sales plans and objectives and recommend programs and policies to achieve these plans and objectives.
Qualifications

Education and/or Experience
High school degree or equivalent. Associate or bachelor’s degree preferred. Previous administrative assistant experience. Experience in live concert events or related field preferred. Previous entertainment industry experience preferred. Or equivalent combination of education and experience required.
Skills and Abilities
- Excellent written verbal skills, organizational ability, detail oriented, and proactive.
- Understanding of the music, performance, and live entertainment industry.
- Professional presentation, appearance, and work ethic.
- Computer skills including proficient knowledge, with proven experience, of Microsoft Office applications, e.g., Word, Excel, PowerPoint, Outlook, and the Internet. Adobe Suite skills are a major plus.
- Must have a valid driver license and a registered vehicle.
- Ability to work flexible hours, including nights, weekends, and holidays in addition to normal business hours as needed at Toyota Arena and other ASM Facilities.
- Effective interpersonal skills with the ability to interact with all levels of management.
- Ability to work with and maintain highly confidential information.
- Ability to work in a fast-paced environment.
- Ability to prioritize multiple projects and meet strict deadlines.
- Ability to perform effectively under significant pressure typically associated with meeting the demands and timetables of the entertainment industry.

- Strong orientation towards hospitality/customer service for the meeting, convention, and entertainment industry.
- Must have experience in client account management.
- Possess the skills to both acquire new accounts and manage existing accounts.
- Possess strong analytical skills to determine the quality of potential business opportunities best suited for the community.
- Experience with CRM systems and/or other ticket inventory management systems is a plus.
- Basic knowledge of facility operating standards, building maintenance, custodial, personnel and office management.
- Some travel required.
- Background and Credit Checks will be required as condition of employment.
