Position Summary
The Legal Specialist in the Legal Services Group is a service focused, point of contact for contract management within RMIT. The role supports Associate Director – Legal and Compliance and team to develop, maintain, and support compliance with contract management and compliance processes, policies and systems within RMIT in a timely and customer focused manner.
Reporting Line
Reports to: Associate Director, Legal & Compliance
Key Accountabilities
1. Contract management and compliance task:
Support and facilitate compliance with processes and systems for the management of contract information, contract approvals, contract reporting and contract execution
Support and facilitate the University’s compliance with contract management and compliance programs.
Support and undertake data management and contract administration for the L&C, maintain contract registers for reporting to management as required from time to time.
Comply with and facilitate the use of physical stamp & electronic sign off processes and procedures to enable proper execution of RMIT contracts.
Support and facilitate the automation & digitalization project in contract management lifecycle.
Support and facilitate the University’s compliance with a range of legislative provisions by reviewing and assessing departmental compliance self-assessments.
2. Administrative tasks:
Be the contact point of L&C to provide support in contracting e.g. templates, guidance, etc.
Administer the Service Connect for Legal & Compliance department.
Assist in managing the L&C’s suppliers and budget.
Make sure the payment claim is proceeded properly.
Archive documents properly
Support the L&C team.
3. Other tasks as assigned by the Associate Director, Legal & Compliance.
Manage the legislative/policy change communication process.
Perform periodic review of the contract template in place and propose further templates where required.
Be accountable for your own actions and workload to positively influence the team culture and consistently demonstrate RMIT’s values.
Comply with all RMIT policies and procedures
Key Selection Criteria
Bachelor’s degree, in Law.
At least 5 years’ experience working in a similar role or a related job role.
Excellent communication skills, both written and verbal. Experience from working within the corporate sector is an advantage.
Excellent customer service skills with a professional and proactive approach.
High level of accuracy and confidentiality in all correspondence and administrative documents adhering to the University and departmental standards
Excellent organisational skills and attention to detail;
Demonstrates ability to analyse, interpret, evaluate and present information;
Well-develop interpersonal skills, including negotiation, liaison and cross-cultural communication;
Advanced IT skills with knowledge of Microsoft Word, Excel, Access, PowerPoint and other relevant business software.
Demonstrated ability to show initiative, think outside the box and creatively solve problems.
Ability to display appropriate behaviours in line with the position, as per the RMIT Behavioural Capability Framework (Connectedness, Commitment to Excellence – Improve and Simplify; Imagination and Innovation; Impact; Inclusion; Agility).
English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General with a score of at least 6.5 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
For any role, English Language Proficiency may also be proven by showing successful completion of secondary education to a level qualifying to enter university study while being instructed through the medium of English, as per the RMIT University recognised qualification list.
