JOB SUMMARY


  The Resort Administrative Assistant’s primary responsibility is to provide administrative and operational support to the General Manager, Front Desk Manager and other managers of operations by proactively communicating, responding to questions and requests, solving problems, providing information, maintaining and organizing data, handling all invoices for resort, AOAO, and timeshare entities, and protecting the integrity of all parties.  Must always demonstrate Service Standards with guests and staff to ensure a positive experience.

Job Responsibilities: 

  Conducts themselves in a highly ethical and professional manner, maintaining confidentiality and protecting the integrity of the Resort.

Maintains confidentiality and security of hotel information, correspondence, reports, and files.

Works to clear/reduce accounts receivable for the Resort, Timeshare and AOAO entities.  Follows-up on discrepancies.

Assists with payroll processing for Resort, Timeshare and AOAO.  Audits payroll as requested.

Ensures that Night Audit is correct and follows-up on any discrepancies.

Maintains complete knowledge in the use of all office equipment, computers, and manual systems.

Assists with check ins and checkouts as requested.  Processes timeshare relocations with Owners as well as credits to the Resort Operation.

Codes invoices for all three entities on property – Resort, AOAO and timeshare.

Performs additional duties as assigned or instructed.

Education:

High school diploma or equivalent.  Degree in business or equivalent combination of education and experience required.  Must communicate in the English language (written and oral) to the understanding of customers, guests, and co-workers. Proven experience providing effective written, verbal and interpersonal communication.  Ability to create, update, and distribute routine reports and correspondence.  Comprehensive knowledge of Microsoft Office software to include Word, Excel, PowerPoint, and Outlook.  Ability to speak effectively and professionally with individuals or groups inside and outside of the organization.  Proven ability to prioritize, organize, and act efficiently and with urgency.  Proven ability to manage multiple priorities and tasks at any given time.

Experience:

1+ years of Executive Assistant, Guest Service or similar experience.  Must be able to cope with frequent changing priorities and deadlines with a high degree of optimism, professionalism, and collaboration.  Finance or Accounting experience preferred.  Previous Hospitality industry experience helpful.
