Office Assistant

Pay Details:

The starting hourly rate for this position is $21.00 per hour.

The part-time Office Assistant greets guests and callers while providing excellent communication and customer service for a growing, event driven company. Some duties include answering incoming calls, assisting walk-in guests, assisting in the mailroom as needed, and helping maintain the common areas including the kitchen, break room and conference spaces, handling lost & found, and covering for the full-time Administrative Assistant or Mailroom Coordinators when they are out of the office for vacation, sick days, and certain company events.

Responsibilities

  • Answer incoming calls and forward calls to the appropriate department or team member using Voice Over IP software

  • Greet visitors in a professional manner, determine the purpose of their visit and notify the appropriate person

  • Work cohesively with other departments regarding their requests for the front desk

  • Maintain the common areas of the office including organizing the kitchen, breakroom and conference spaces ensuring they are neat and clean

  • Assist with cleaning and restocking the coffee machines as needed

  • Assist with ordering coffee machine, kitchen supplies, and soda machine supplies as needed

  • Call for water filtration and coffee machine maintenance as needed

  • Communicate necessary instructions to other members of our team

  • Receive, notify, and distribute items dropped off at the front desk

  • Process lost and found items following company procedures

  • Check and stock office copier/printers

  • Assist as a cashier during event day lunches

  • Provide coverage for the full-time Administrative Assistant when they are out of the office for vacation, sick days, and certain company events

  • Provide coverage for Mailroom Coordinators when they are out of the office for vacation, sick days, and certain company events

  • Help with mailroom duties such as posting mail, creating shipping labels, distributing mail, stocking office supplies, and making mail runs between buildings

  • Perform other duties and projects as assigned

Qualifications

  • Minimum one year administrative/mailroom experience preferred

  • Excellent oral communication and customer service skills

  • Strong attention to detail and solid organizational skills

  • Basic knowledge of Microsoft Word, Excel, and Outlook

  • Knowledge of Cox Voice Over IP software a plus

  • Excellent written communication skills

  • Able to handle multiple projects at one time, meet deadlines, and work well under pressure with limited supervision

  • Able to learn quickly and follow instructions

  • Able to work flexible hours (M-F) when required to cover the full time Administrative Assistant or Mailroom Coordinators for their vacation, sick days, and certain company events

Knowledge, Skills and Experience

Education - High School Diploma or Equivalent

Experience Required - 1-2 Year
