As a Global Human Resources Administrator, you’ll be supporting the delivery of a high-quality service within the human resources (HR) operations department, covering HR administration throughout the employee life cycle. This will help us excel at providing the best experience for our internal global stakeholders to stay ahead of the game.

What you’ll be doing

New starters and leavers

  • Create documentation for all new starters, including employees, interns and consultants

  • Welcome the new starter on their first day and collect all documentation 

  • Process all new starter documentation, including contracts, personal forms, benefit application forms etc.

  • Manage the background checking process through our third party supplier

  • Ensure complete records are held for each individual, including personal details (passport, references etc.) and job descriptions

  • Issue leaver letters and process leaver details on the HR system

Immigration 

  • Ensure ‘Right to Work’ documents are received before employee’s start date and a robust system is in place for checking expiry dates of visas/work permits

  • Liaise with immigration consultants and recruitment to ensure all certificate of sponsorship applications details are correctly entered and in accordance with legislative requirements 

HR Processes and Letters

  • Update HR systems for all employee changes

  • Prepare change letters for salary increases and contractual changes

  • Prepare all maternity and paternity letters

  • Manage the absence recording system (including holidays, sickness, compassionate leave etc.)

  • Provide administration support regarding Occupational Health bookings 

HR Data and Reporting

  • Enter and update employee data onto the HR system and ensure accurate records are maintained

  • Run reports as required by the HRBP including employee sickness records and salary and bonus history

HR Admin

  • Audit all employee changes for payroll deadlines

  • Manage the Human Resources ticketing system (JIRA), responding to queries where possible and assigning queries to relevant team members in line with service level agreements

  • Prepare recognition awards reports (i.e. 5 year anniversaries etc.) and ensure gifts are ordered on time

  • Ensure HR files are kept up to date and audited annually

  • Ensure the intranet for HR benefits and FAQs is kept up to date 

  • Create Purchase Orders as and when required 

  • Order flowers for employees when required

Essential skills you’ll bring to the table

The necessary skills that we require for this role include:

  • Exceptional attention to detail, ensuring high standards of quality in all outputs

  • Ability to take ownership without prompting

  • Experience with dealing with sensitive and confidential data

  • Excellent organisational skills with the ability to plan and prioritise whilst working quickly and precisely under pressure

  • Proven ability to logically problem-solve 

  • Good interpersonal skills with the ability to develop and sustain relationships with key stakeholders and peers 

Desirable skills you’ve got up your sleeve

It would be great if you also have some the following skills:

  • Experience with processing HR Admin and having to use initiative

  • Experience with using HR systems (ideally Workday)

  • Excellent knowledge of MS Outlook, Word, Excel and PowerPoint
