Position Summary
 

Works collaboratively with all members of the care team to deliver world class service to both the patients and staff of Martin’s Point Health Care. Answers care team phone calls, including telephone triage and messaging, appointment scheduling, and directing calls to appropriate department or staff to expedite patient care. Under the supervision of a Provider or Registered Nurse and according to defined policies and procedures, the MA Apprentice provides support and assistance with patient service and technical tasks focused on pre-visit planning and preparation for patient visits, coordinating and managing provider desktop activity, rooming patients, and assisting providers with direct patient care services that support managing the targeted population’s health. Specific duties may vary based on progress throughout the apprenticeship program, in coordination with completed coursework through Gray-New Gloucester Adult Education.

The program is 22 weeks long and Medical Assistant Apprentices are paid full-time, 40 hours per week. Key Outcomes:

  • Provides phone support to internal and external customers including telephone triage and messaging, appointment scheduling/rescheduling/cancelling, and directing calls to appropriate department or staff within established protocols and quality metrics.
  • Coordinates new patient management by distributing packets, maintaining records, and completing initial screenings.
  • Conducts patient check-in and check-out activities as appropriate.
  • Facilitates patient-centered visit by ensuring proper screening, documentation, and/or testing has been printed and completed prior to patient visit.
  • Supports quality gap identification and closure through communication, raising awareness of the provider and care team members, record(s) attainment, and the completion of appropriate EMR documentation.
  • Prepares patient health information via electronic records and ensures all consults and charts are scanned, downloaded, and communicated in preparation for patient visit.
  • Coordinates and manages provider desktop activity following standard processes and protocols: forwards documents and queues medications and orders to provider for review and approval, facilitates patient scheduling and coordination with specialty offices, relays messages to patients from provider as documented, completes document processing (prescription refills, prior authorizations, specialist/facility reports, telephone notes, outreach efforts).
  • Communicates patient care information to other health care team members, including changes noted, by verbal report and/or documentation of patient care provided according to policy and procedure guidelines.
  • Performs direct patient care services in accordance with clinical protocols in a patient-centered manner including rooming patients, obtaining vital signs, reviewing medication list, and updating as necessary, and reviewing reason for visit and documenting concerns.
  • Performs sample collection, labeling, processing and/or documentation of laboratory, waived and ancillary testing in accordance with current protocols and policies, as ordered by the provider and training/competency supports. These include EKGs, PFTs, Peak Flow Rates, Rapid Strep, HCG’s, Blood Glucose Monitoring, INR’s, H. Pylori Testing, and Eye and Audiology screening.
  • Ensures exam rooms are prepared for patient visits, including equipment operability, supply inventory, and cleanliness using standard stocking procedures.
  • Additional administrative and clinical tasks identified as part of Gray Adult Education course curriculum (see Addendum).

Education/Experience

  • High school diploma or equivalent
  • Experience working in an administrative and/or customer service-oriented environment
  • Must be enrolled in the Gray-New Gloucester Adult Education MA Program with a passing grade in all courses throughout the Apprenticeship

Required License(s) and/or Certification(s):

  • Basic Life Support (BLS) certification or attainment within 6 months of hire
