Your role at Baxter

Reporting to the Global T&E Operations Supervisor, the purpose of the role is to support the processing of travel and expense reports while identifying areas of fraud or non-compliance to policy

What you'll be doing

  • Supports the Global T&E Operations Supervisor when required and the first point of contact when the Supervisor is unavailable to the team.

  • Monitor AppZen feeds to ensure they are running accurately and under the accurate status.

  • Mentor and support junior team members of T&E and/or PCARD/Corp Card team.

  • Act as a SME for policies and processes, improving efficiency and leading process changes.

  • Give timely support and customer-focused assistance for incoming questions on T&E processes and systems in an operational SME capacity or bring up to Tier 2 when vital.

  • Provide support in compliance-relevant aspects: reporting, investigation of specific cases, analysis of expense reports.

  • Review travel and expense reports promptly for compliance with Baxter Global Policy.

  • Support a strong control environment, follow-up on audit issues/Service Now, and support the implementation of corrective measures.

  • Increase relationships with the business (employees, managers, governance team) to improve teamwork among functions affected by travel and expense audits.

  • Collaborate with other travel and expense teams to ensure customer concerns and outstanding issues are addressed and handled effectively.

  • Proactively communicate on areas of concern noted in expense report management.

  • Understand travel and expense tools and policies, support Governance Team, give feedback to improve system.

  • Participate and assist in driving the knowledge management process including the development of user manuals, knowledge bases, FAQs, etc.

  • Review SOPs twice a year.

  • Provide feedback to Supervisor on suggested changes to current processes and policies in order to gain efficiencies and overall compliance with all programs.

  • Support in the implementation of ongoing process improvement projects related to travel and expense, e.g., Appzen, Coordinated Concur Travel & Expense, SmartSpend Alignment.

What you'll bring

  • Bachelor’s degree completed in Administration, Accounting, or related areas

  • 3+ years of related working experience

  • English B2+ or higher

  • Excellent attention to detail and the ability to prioritize multiple tasks simultaneously

  • Excellent analytical, troubleshooting, interpersonal and problem-solving skills

  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint and information systems such as Concur, Appzen, JD Edwards

  • Confirmed proven understanding of the travel industry

  • Experience working in a Shared Service Center environment

  • Financial services experience a plus
