What You Will Do:

The Program Assistant will join Guidehouse to support a public diplomacy office at the Department of State. The client is transitioning to a new project management and operating model after completing a multi-year effort to modernize and restructure the Department’s public affairs sections at overseas embassies and consulates. The office is working to improve processes related to knowledge management, communications, collaboration, and leveraging new tools and technology. 

 

In this role, the candidate will support the operations of the client’s human capital team and work with the client to review their current processes, recommend improvements, and explore applications for new technology and tools. The candidate will also support key team infrastructure to include scheduling with global teams, data collection and reporting, and communications 

 

Specific responsibilities to include: 

  • Knowledge Management: Collaborate across the Department to align file management. Determine internal knowledge management business processes that foster collaboration. Manage the collection, maintenance, and alignment of files and work products 

  • Process Management: Develop, manage and refine team processes (e.g., case assignment process; survey collection; status updates). Meet with stakeholders across the Department to gather requirements and understand business processes that will inform/impact team processes  

  • Communications: Coordinate with stakeholders across the Department to draft recurring external communications. Support internal team collaboration and coordination. 

  • Data Management: Collect and clean data from multiple sources; Report and communicate updates; Review data using systems like Salesforce and Asana 

  • AI: Explore opportunities for AI integration into business processes 


What You Will Need:

  • Ability to OBTAIN and MAINTAIN a SECRET Federal or DoD security clearance 

  • Bachelor's degree 

  • TWO (2) years of administrative or program support experience


What Would Be Nice To Have:

  • State Department experience (or other international agency) 

  • Prior consulting experience 

  • Ability to learn and manage a variety of technology platforms 

  • Experience in Salesforce and Asana 

  • Experience with data collection and/or data information sharing 

  • Ability to view problems from multiple angles and apply a variety of solutions to solving them 

  • Ability to participate in and lead client-facing discussions and meetings 

  • Excellent organizational skills and attention to detail 

 

The annual salary range for this position is $71,800.00-$107,600.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
