Position Summary

This role will serve as the Executive Assistant to the  Chief Communications Officer.

This position serves as a liaison in person and virtually. Primary tasks include calendaring/scheduling, screening and directs these contacts; coordinating mail; preparing correspondence and other communications; organizing and scheduling time and travel; plans and arranges meeting time, place and menu; handling correspondence including that of a confidential nature; owning and participating in special projects as assigned; preparing reports and presentations; sets up and maintaining files. Additionally, this role will be a key partner to the Director, Communications Strategy & Performance and support team operating mechanisms including monthly meetings, town halls, off site events, and other activities. The successful candidate will be a team-player who can jump in, manage workload, and effectively partner with the Corporate Marketing & Communications team and Executive Assistant peers.

Essential Responsibilities

  • Organizes executive's time, taking into consideration priorities, available time, and other variables. Proactively addresses scheduling conflicts; sets and maintains schedule of appointments and meetings. Keeps executive "on schedule." Makes all arrangements for travel/conferences.
  • Serves as liaison with direct reports, employees and vendors. Maintains confidential nature of communications.
  • Initiates, composes and prepares internal/external correspondence and/or presentations (using Word, PowerPoint, Excel, as well as other tools, including dictation). Relieves executive of details as necessary.
  • Responsible for daily office operations: opens, sorts, and distributes incoming mail; answers, screens, delegates, and handles incoming phone calls; maintains office efficiency and handles unforeseen situations.
  • Proactively communicates with executive, including e-mail and voice mail updates.
  • Works will Director, Communications Strategy and Performance on processes, including events, communications and budgeting
  • Performs other related duties as directed

Preferred Requirements

  • Strong skills with calendaring and managing schedules
  • Works well with others and is a strong team player
  • Ability to independently manage workload
  • Knowledge of, or ability to, quickly learn Concur and/or SumTotal systems.
  • PowerPoint experience


Minimum Requirements

  • High school required. Minimum of three years administrative experienced required.
  • Previous executive secretary experience preferred.

Non-Bargaining

The anticipated starting base pay for this position is: $69,700.00 to $99,100.00 per year
