Job Description

GENERAL SUMMARY OF POSITION RESPONSIBILITY:    

The Cardiopulmonary Labs Administrative Assistant works directly with the ECG, Exercise, and Pulmonary Labs to assist with the administrative needs of these departments.  The Cardiopulmonary Labs Administrative Assistant works to maintain all inpatient and outpatient scheduling needs, reminder calls, and image sharing across all the department’s locations.  This position is under the direct supervision of the Cardiopulmonary Labs Manager and works with the Director of Cardiopulmonary Services to provide high-quality, safe care for patients and their families.  The position actively supports the Hospital’s and Department’s Continuous Quality Improvement and customer service goals, individually and as an effective team member.


ESSENTIAL JOB FUNCTIONS:

  • Exhibits guiding behaviors that reflect Lurie Children’s values and support our mission and vision. 

  • Works with the Cardiopulmonary Labs Manager and Director of Cardiopulmonary Services to identify workflow improvements for scheduling and coordination of care. 

  • Assists with scheduling patient appointments and coordinating diagnostic testing with other procedures using the computerized scheduling system and its components. 

  • Schedules/links orders for cardiopulmonary testing in EPIC for clinic patients including PFT, EST, Echo, ECG, and Holter monitors at the main hospital location 

  • Assists with insurance pre-authorizations associated with the Cardiopulmonary Service areas

  • Assists with training new users in the use of the scheduling software and assists current users to continue to develop skills.

  • Attends monthly department meetings and keeps meeting minutes

  • Assists the Tele-echo coordinator with image sharing and order placement. 

  • Assists the CP Labs manager and educator with administrative responsibilities for national conferences hosted by the CP Lab department. 

  • Assists as needed in ECG and Holter monitor processing. 

  • Acts as a resource for staff.

  • Participates in special projects and other duties as assigned.

  • Maintains and records appropriate documentation in electronic health records. 

  • Maintains confidentiality in handling all patient and program-related matters.

  • Types, faxes and mail reports, letters, memos, and other correspondence if needed.

  • Understands the roles of all team disciplines to orient and inform patients and families.

  • Provides a timely and service-oriented approach to telephone calls. Takes accurate messages and triages calls as appropriate.

  • Treat patients, families, providers, visitors, and co-workers courteously, and with respect.

  • Functions as a resource for medical and clinical staff, managers, and visitors.  Communicates with both internal and external customers to share information, provide direction, and represent cardiopulmonary diagnostics. 

  • Works cooperatively to accomplish additional tasks as necessary to achieve hospital/department objectives.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • High school education or equivalent.  Associate or Bachelor’s degree preferred.

  • Two years of experience working in a hospital/healthcare setting in patient registration/scheduling/financial environment or customer service industry.

  • Ability to work flexible hours to meet patient care needs.

  • Communication skills to articulate education and performance-related issues.

  • Interpersonal skills necessary to gather and share information with physicians, patients, visitors, families, and team members in a courteous and confidential manner. 

  • Excellent organizational, analytical, and prioritizing skills necessary to work in a fast-paced environment with multiple tasks done simultaneously and independently. 

  • Fluent in Microsoft Office or strong background in a similar electronic office environment

  • Analytical skills to develop system improvement activities based on data. 

  • Ability to type a minimum of 35 words per minute to type forms, letters, and prior authorizations and perform data entry. Experience with electronic medical records and Microsoft applications including Word and Excel.

  • Experience working with families of diverse ethnic, cultural, and socioeconomic backgrounds is strongly preferred.

  • Ability to navigate, coordinate multiple services, prioritize, and multi-task to meet the needs of patients, parents, physicians, and other hospital staff.

  • Demonstrated teamwork within the department and community by assisting other staff members and/or organizations as necessary.

  • Ability to concentrate and pay close attention to detail.

  • Must be able to function in a dynamic environment subject to impromptu changes in schedules and priorities.

  • Must possess excellent communication, interpersonal, and organizational skills to work effectively with professional staff, medical staff, all levels of management, patients, and families, and maintain confidential information.
