The Team Coordinator is for assigned administrative and customer service functions for the team/department. This position assists with clinician timesheet coordination and reimbursement processes and is responsible for handling incoming requests and inquiries from clinicians and clients, ensuring prompt resolution.Clinician Timesheet Coordination - 60%
Monitors and follows up with new clinicians to assist with timesheet portal registration and assistance in completing first timesheet
Serves as team timesheet Administrator and assist with support such as password resets, admin approvals, etc.
Runs and distributes timesheet related reports, as needed
Prepares documents, presentations, and spreadsheets and maintains files as requested
Follows up with clients weekly to secure approvals through online portal
Follows up with clinicians with past due timesheets to ensure timesheets are submitted
Provides support to Production in answering any timesheet/expense related questions including process, policy, and technical/portal related inquiries
Conducts training regarding best practices and new processes
Clinician Pay & Expense Reimbursement- 30%
Professionally handles incoming requests from clients and clinicians and ensures that issues are resolved both promptly and thoroughly; answers questions and directs telephone calls
Resolves or appropriately refers questions, requests, complaints, and problems
Secures and uploads Confirmation of Assignment (CoA) and any mileage documentation to the booking to support the timesheet processing for select accounts
Serves as liaison between clinicians, Accounting, and internal division
Submits expense reimbursements for clinicians as needed
Administrative Support - 10%
Assists with mailings such as birthday cards and gifts, ensure W-9s and Direct Deposits are on file
Performs reporting as needed
Evaluate and identify opportunities to drive process improvements to positively impact customer experience
SECONDARY FUNCTIONS (IF APPLICABLE)
May assist with clinician scheduling as needed
May work on special projects or other duties as assigned
SUPERVISORY/BUDGETARY/EXTERNAL COMMUNICATION RESPONSIBILITY
Communicates with external clients and clinicians
QUALIFICATIONS – EDUCATION, WORK EXPERIENCE, CERTIFICATIONS
High School Diploma or equivalent required; Bachelor’s degree preferred
1+ year of related experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES
