Job Description
 

We seek a highly organized, resourceful, and proactive individual to join our team as an Administrative Coordinator. This role sits

on-site in our Foster City, CA office in support of the Executive Directors of Sales-HIV. Primary coverage to support the HIV Prevention field team reporting directly to the Head of HIV Prevention Commercial Field team, but also working within a team to support HIV Treatment Field Team as necessary.

This role includes traditional administrative assistant responsibilities and additional project coordination tasks to support our team’s

efficiency and success.

Key Responsibilities:

Project Management:

· Manage multiple large-scale projects with competing timelines. Projects may involve implementing and updating software

applications or databases, coordinating with vendors, and facilitating user training with minimal supervision.

Field Support:

· Coordinate resources for field team members to meet deadlines and optimize field operations.

Documentation and Reporting:

· Draft reports, presentations, and templates using raw data under the guidance of the manager.

Strategic Contributions:

· Understand and contribute to department goals, aligning workflows to support broader objectives.

· Maintain a comprehensive view of departmental operations and recommend process improvements.

Event Coordination:

· Plan, organize, and execute large-scale events and meetings, including regional and team gatherings, ensuring effective

management of all logistical details.

Team and New Hire Support:

· Facilitate onboarding processes for new field hires or transfers and maintain up-to-date departmental distribution lists.

Awards and Recognition Management:

· Oversee the administration of team recognition programs and sales awards.

Operational Support:

· Manage workflows, including creating and processing work orders, purchase orders, and onboarding suppliers.

· Support inventory management for field materials and triage incoming sales leads to the appropriate team members.

· Collaborate to ensure smooth system and process operations, addressing and resolving system issues as they arise.

Financial Support:

· Assist in budget preparation, review monthly reports, and research variances to ensure financial accountability.

Facilities and Office Support:

· Contribute to office space planning or set-up as needed.

Team Mentorship:

· Support the orientation of new administrative staff and act as a resource for colleagues, cross-training to provide coverage

when needed.

Basic Qualifications:

Minimum Required Education and Years of Experience High School and Three Year's Experience

OR Associate Degree and Two Year's Experience

OR Bachelors Degree

Preferred Qualifications:

· Excellent verbal, written, and interpersonal skills are required. Requires knowledge and understanding of administrative

and office policies and procedures. Must possess good proofreading and editing skills of technical documents. Has the

ability to review the work of lower-level administrative assistants. Advanced knowledge and experience using several office

software. Works under minimal supervision. Receives occasional direction from manager to perform non-routine job

responsibilities and duties.

· Demonstrated ability to work effectively in a fast-paced environment; time and priority management


 

The salary range for this position is: $107,270.00 - $138,820.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
