  • You will be working on a hybrid schedule as part of Fidelity’s dynamic working arrangement, with 10 days a month required in the office.

How You’ll Make an Impact

Transfer Agency Processing Support is a multi-functional area providing a wide array of services to all divisions of Fidelity Investments.  The department consists of 5 distinct teams that support financial and non-financial transaction processing.  Responsibilities vary from the receipt and distribution of inbound transaction requests to trade settlement.

The Document Management Representative is responsible for distributing all incoming operational mail, cheques, faxes, emails to all related business units in Fidelity Investments in accordance with the applicable internal/external Service Level Agreements (SLAs). The focus is on quality (accurate data always, low frequency of problems), customer service (interactions that satisfy clients' needs, ability to correct problems quickly) and partnership.

The Document Management Representative maintains continuous document distribution workflow by participating in all stages of the workflow process: preparation of the documents, scanning, image validation/classification and distribution of work items to all business units in the Transfer Agent Operations and Control.

Primary responsibilities:

  • Ensure accurate and timely preparation of all operational documents for scanning and imaging.

  • Image validation and scanning of cheque and non-cheque documentation by utilizing high-speed OPEX scanners, including ICR/OCR process, ensuring accuracy and integrity of scanned images.

  • Image and data validation and classification in XTRAC and ABBYY Vantage

  • Execute all tasks in full accordance with the internal policies, procedures and auditing requirements.

  • Execution of all other document management team related tasks as required or assigned by Team Manager.

  • Add value to the client experience by understanding what's important, recognizing what needs to be done, providing stellar service and taking personal accountability for creating a positive "moment of truth" and demonstrating Fidelity core values.

What We’re Looking For

  • Post-secondary degree or equivalent work experience.

  • Minimum 1-year work experience, preferably in financial services.

  • Completion of Canadian Investment Funds Course (CIFC) is an asset.

  • Strong organizational skills with the ability to multi-task.

  • Ability to work in a fast-paced environment with strong attention to detail.

  • Good written and verbal communication skills.

  • Proficiency in MS Office and strong keyboarding skills.
