The Student Success Engagement & Administrative Coordinator provides operational, communication, and student-engagement support to the Advising and Student Success teams, as well as executive support to the Vice Chancellor of Student Affairs and Marketing. This position assists with coordinating student outreach efforts, supporting retention initiatives, managing departmental communication workflows, providing departmental office support, providing office and executive administrative support, coordinating meetings and projects, and facilitating student success programming and events.

This role serves as a key support position focused on improving student connection, communication, and engagement while ensuring efficient daily operations and administrative coordination across Advising, Student Success, and the broader Student Affairs division.

Hourly Range: $15-20 (based on education and experience)

Job Description:

Student Outreach & Engagement

  • Assist with semester-based communication campaigns and outreach initiatives designed to support student persistence and retention.
  • Utilize texting, email, phone, and CRM communication platforms to engage students and support persistence initiatives.
  • Monitor outreach responses and assist with routing students to appropriate campus resources and staff.
  • Support communication efforts tied to student success habits, key academic deadlines, and campus engagement opportunities.
  • Assist with outreach tracking and reporting efforts.

Administrative & Executive Support

  • Provide administrative support to the Vice Chancellor of Student Affairs and Marketing, including scheduling assistance, meeting coordination, document preparation, and management of routine communications.
  • Assist with coordinating logistics for student affairs meetings, campus events, leadership initiatives, and special projects.
  • Prepare meeting agendas, materials, reports, presentations, and correspondence as requested.
  • Support purchasing requests, invoice processing, travel coordination, and other administrative functions within the Student Affairs division.
  • Maintain organized records, files, and documentation related to departmental initiatives, projects, and compliance requirements.
  • Assist with monitoring and responding to inquiries received through Student Affairs communication channels.

Administrative & Operational Support

  • Assist with scheduling appointments, coordinating meetings, and supporting departmental calendars.
  • Provide front-line customer service support for students in-person, by phone, and electronically.
  • Assist with maintaining student records, communication logs, and outreach documentation in compliance with FERPA guidelines.
  • Support data entry, tracking, and organization related to advising, retention, and student engagement initiatives.

Collaboration & Team Support

  • Work collaboratively with Advising, Student Success, and other student support offices to support coordinated student outreach efforts.
  • Assist with special projects and departmental initiatives related to student retention, persistence, and engagement.

Education, Experience and other requirements:

Education and Experience

  • Associate degree preferred. High School Diploma or GED and at least 2 years of office experience required.
  • Previous experience in customer service, office support, student services, higher education, or communication-related roles preferred.
  • Experience working with students, communication platforms, or outreach initiatives is a plus.

  • Strong interpersonal and communication skills.
  • Ability to engage professionally and empathetically with students from diverse backgrounds.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and communication workflows simultaneously.
  • Comfortable using Microsoft Office Suite, email systems, spreadsheets, and student information/CRM systems.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Ability to maintain confidentiality and handle sensitive student information appropriately.
