Key Responsibilities

This role supports the day-to-day operations of a busy home health office. Responsibilities may vary based on location needs but generally include the following:

Scheduling & Intake Coordination

  • Schedule new patient referrals and assign appropriate clinical staff
  • Confirm receipt of referrals and enter referral information into systems
  • Maintain referral and transfer logs, ensuring accuracy and timeliness
  • Communicate ordered disciplines to therapy partners, home health aides, and social workers
  • Track admission and visit activity and provide daily reporting
  • Update patient status changes and notify appropriate staff
  • Manage pre-admit reporting and document non-admissions

Payroll & Visit Tracking

  • Review and process visit notes and service summaries
  • Follow up on missing or incomplete documentation
  • Print visit notes, physician orders, and related documentation
  • Run weekly visit reports and track documentation timeliness
  • Support new hire training on documentation and payroll systems
  • Investigate and resolve payroll discrepancies

Data Entry & System Management

  • Enter and update patient information across multiple systems (STAT, ET, OASIS)
  • Process admissions, recertifications, transfers, and discharges
  • Perform data quality checks to ensure accuracy
  • Run required reports and support system maintenance (including backups and archiving)

Medical Records Management

  • Maintain and organize patient medical records
  • Assemble new charts and manage discharged records
  • Track physician orders and maintain follow-up tickler files
  • Monitor record check-in/check-out processes

Billing Support

  • Assist with Medicare billing audits and follow-up
  • Support billing review and release processes

General Office Support

  • Answer and triage incoming phone calls with a high level of customer service
  • Greet and assist visitors
  • Distribute incoming mail and manage office communications
  • Order and maintain office supplies and inventory
  • Support staff communication (paging, call routing, etc.)
  • Prepare orientation materials and assist with onboarding tasks
  • Complete administrative tasks such as copying, faxing, and document distribution
  • Coordinate physician orders and follow up as needed
  • Order medical supplies as requested
