Job Summary

The Corporate Event Set-up Coordinator will report to the Employee Services Manager and by working together will create a welcoming atmosphere. As part of the Employee Services and Experience team, you will be part of the fabric which ensures that each workplace feels like a community, enabling more productive, positive, and engaged employees.  
 

Responsibilities

  • Hands on set up/dismantling of meeting and event spaces

  • Ensure meeting rooms and equipment are maintained in a clean and efficient manner

  • Utilize online ticketing/work order software to ensure carry out all set up request/customer expectations are completed prior to deadlines; Complete service tickets efficiently

  • Assist in direction of temporary support labor as needed

  • Perform daily venue and storage checks; coordinate findings with the Employee Services Manager and impacted departments to promptly remedy any deficiencies

  • Assist Employee Services Manager with administrative duties including, but not limited to: daily/weekly project sheets, customer service, email correspondence etc.

  • Perform elementary audiovisual duties to support events

  • Ensure excellent customer service before and during events

  • Assist and support client and customer event and meeting set up needs

  • Other operational related duties as required

  • Perform miscellaneous duties to support the Employee Services Manager and the larger client Workplace Solutions Team as needed

Requirements

  • High School Diploma or GED

  • Considerable physical activity in transporting awkward and heavy materials such as staging, chairs, tables, etc. from storage areas to meeting rooms weighing less than or equal to 50 pounds without assistance and objects weighing more than 75 pounds with assistance

  • Willingness to learn set-up procedures and other operational procedures

  • Ability to analyze set up plans (room drawings)

  • Able to work irregular hours, some nights and weekends

  • Must be able to stand/walk long periods of time

  • Able to work independently as needed

  • Communicates effectively and professionally with management, employees, vendors, and customers

  • Excellent service and teamwork skills; shows respect when dealing with customers and team members

  • Basic computer entry and ability to use other devices, such as iPad

  • Strong attention to detail, ability to complete work accurately and efficiently

Preferred Requirements

  • Three to five years of semi-skilled laboring experience

  • Familiarity with Microsoft office suite, Outlook

  • Reliable mode of transportation

  • Wear appropriate clothing for their work environment; This includes good personal hygiene and “on-brand” clothing.
