Position Summary:
The Operations Coordinator is responsible for the accurate tracking, documentation, and billing of project milestone events across all active engagements. This individual plays a critical role in ensuring timely billing, revenue recognition, and client satisfaction by partnering closely with Project Managers, Program Managers, Order Ops, and Clients. The ideal candidate will be highly organized, analytical, and capable of owning the billing process from end to end.

Key Responsibilities:

·        Monitor all project milestone events and ensure they are accurately recorded in the billing system.

·        Collaborate with Project and Program Managers to identify milestone completions and validate percentage-of-completion data.

·        Generate and submit client invoices based on milestone achievements, approved change orders, and agreed-upon billing structures.

·        Own and maintain the Project Billing Dashboard to provide real-time visibility into billing status, upcoming milestones, and revenue forecasts.

·        Drive proactive communication with project teams to ensure timely client approvals of milestones and change orders.

·        Coordinate with the Finance team to ensure billing aligns with accounting standards and company revenue recognition policies.

·        Investigate and resolve billing discrepancies in coordination with internal stakeholders and clients.

·        Support the development of process improvements to enhance billing accuracy, efficiency, and transparency.

·        Track and report key performance metrics related to billing cycle times, milestone approvals, and project billing health.

·        Assist with buy/sell, manufacturing, and other invoicing initiatives as needed.

Qualifications:

·        3+ years of experience in project billing, project accounting, or professional services operations; telecom or technology industry experience is a plus.

·        Strong understanding of project lifecycle and milestone billing structures.

·        Excellent organizational skills with attention to detail and accuracy.

·        Strong interpersonal and communication skills, both written and verbal.

·        Proficient in Microsoft Excel; experience with Salesforce and Workday is a plus.

·        Ability to work independently, take ownership of processes, and drive outcomes across teams.
