We are excited to announce that at this time we are looking for an Operations Support Specialist to join our team of over 10,000 global field personnel supporting our pharmaceutical and biotech clients.

The Operations Support Specialist will be required to interact with all members of the project team and the customer to ensure all work is conducted in accordance with SOPs, policies and practices, and meets quality and timeline metrics.

Responsibilities

  • Receive and process staffing management changes into project management tool, following up to obtain any missing information.
  • Provide customer phone support for staffing management questions and issues.
  • Support investigation and resolution of all outstanding tasks.
  • Monitor staffing managment process, escalate discrepancies and support issue resolution.
  • Maintain all project documentation including all service protocols, records and reports according to the scope of work and SOPs.
  • Update and maintain internal databases, tracking systems and project plans.
  • Assist with the coordination and administration of project dedicated business meetings at assigned IQVIA Site(s). This may include the following responsibilities, but is not limited to:
    • Update and maintain conference room scheduling calendar,
    • Schedule equipment,
    • Schedule Conference calls/virtual meetings,
    • Event/meeting planning including ordering and setup of food and materials, hotel accommodations, ground transportation, and group dinner arrangements,
    • Manage production of training materials,
    • Organize and monitor meeting supplies inventory and procurement
    • Create and distribute post-program reporting and/or surveys
    • Maintain working knowledge of audio-visual equipment located in the conference rooms
  • Provide exceptional, concierge level customer service to external clients and internal colleagues.
  • Receive and greet clients, customer partners and visitors while providing support for client and onsite teams.
  • Prepare and manage all meeting and project documentation including hotel rooming lists, attendee records, arrival/departure manifests, shipping logs, and financial budget reports according to the scope of work and SOPs.
  • Provide operational support as directed by stakeholders.
  • Conduct other duties as assigned

Job Requirements

  • At least two years of Data Entry experience working in a Patient Outreach or comparable Contact Center in Health Care industry.
  • Experience with meeting planning, logistics and onsite coordination preferred
  • Must be computer proficient: Including MS Office skills (Word, Excel and Outlook).  Experience with electronic health records preferred.
  • Ability to identify problems, take initiative, and be solutions oriented in a contact center work environment.
  • Possess excellent virtual interaction and communication skills - both written and verbal.
  • Exhibit Strong Customer Focus and Sensitivity for interacting with Patients and Health Care Professionals.
  • Ability to investigate and analyze potential duplicate records.
  • Must be able to follow business rules to process and merge duplicate records within an automated system.
  • Detail-oriented, efficient, and flexible with strong organizational skills.
  • Ability to understand and strictly follow policy, procedures and guidelines.
  • Ability to maintain confidentiality, follow up on commitments on a timely basis, adhere to deadlines and be a strong team player.
  • College Degree preferred

The potential base pay range for this role is $60,000-$70,000 annually. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.
