Job Summary:

Panamint Valley Limestone (PVL), a Speciallty Granules LLC company, is seeking an Office Specialist at its Trona, CA Plant. Reporting to the Site Manager, the Office Specialist will perform the plant accounting functions, customer care functions and purchasing functions as well as general office duties and administration.


ESSENTIAL DUTIES


Customer Service
○ Process customer orders in a courteous, efficient and timely manner. Issue bill of ladings and invoices.
○ Coordinate product shipping
○ Provide order status to the leadership team and serve as a liaison to
communicate with the Plant and Corporate leadership team as well as the
customer if any issues may arise.
○ Attend to customer questions, complaints, and concerns immediately
○ Effectively present and discuss the products and services of the company
○ Set up new customers in SAP


Accounting
○ Interface with the Accounting department
○ Payroll processing - process payroll weekly, timecard submission, payroll register reconciliations, vacation accruals
○ Assisting with the tracking of production (verifying entries)
○ Perform monthly close for accounting
■ Reconcile Inventory
■ Reconcile Production
■ Reconcile Capital

■ Enter any Journal entries needed (i.e. accruals)
■ Review Trial Balance / Accounts for entry errors
■ Perform redistribution
■ Schedule 3 explanations
○ Forecasting (Monthly)
■ Coordinate with Site Manager to determine updates to forecasted
spending and production
■ Update Arcplan to reflect the changes
■ Validate that redistribution is complete for the forecast
○ Budget (Annually)
■ Coordinate with Site Manager to determine spending and production
■ No Raw Material / Commodity Code calculations are needed
■ Review capital projects and deprecation entered by corporate PM
■ Coordinate with Site Manager to update ProdCal (production schedule)
■ Update headcount for hourly and salaried
■ Complete incentives calculations
■ Complete budget template for input into Archplan
■ Complete the commodity code feed file for generating FIC costs
■ Participate in Budget Presentations
○ Assist in the administration of the Inventory counts on a monthly/annual basis


Purchasing
○ Interface with Purchasing for purchase orders
○ Enter PR’s for equipment purchases
○ Could be involved in setting up spare parts inventory if time permits
○ Issuing out of inventory
○ Receiving


Technical knowledge/skills
● Demonstrated computer literacy
● Understanding of accounting processes and invoicing.
● Advanced proficiency with Google-suite is a plus
● Knowledge of SAP and ADP (preferred) or experience with other scheduling and organizational software programs

General knowledge/skills
● Very detail oriented
● Professional communication both verbal and in writing
● Excellent interpersonal skills, ability to articulate well
● Independent problem- solving skills
● Excellent planning, prioritization and follow up skills

Education/Experience

  • 3 to 5 years of general accounting experience is required

  • High School Diploma required, College Degree preferred

  • Manufacturing accounting experience preferred

  • Customer Service or shipping experience in a manufacturing environment preferred

Dimensions
Working Conditions: mostly Office conditions some outdoors within the plant environment.
Physical Requirements: Computer, lifting objects up to 20 lbs., standing or sitting for extended periods, extended or irregular hours, bending, kneeling, stooping

Hourly Rate

$36.00

Consideration will be given based on geography, candidate experience, and qualifications.

Annual Salary Range: 63,180-80,730
