Position Summary

Under direct supervision of the Director of Operations, the Operations and Safety Coordinator is responsible for administering safety programs for the venue, entering data into the Computerized Maintenance Management  Software (CMMS), and  assisting  the center’s operations  department  and  staff  with  numerous  other  administrative  and  support requirements.

Essential Duties and Responsibilities

•  Facilitate the process of generating maintenance work orders to track maintenance in CMMS at the facility.
o Assist with documenting the cost of work performed on work orders in CMMS and ensure accurate data entry.
o Monitor and maintain CMMS work order records and ensure up-to-date accurate database maintenance.
o Provide regular reporting on the status of work orders.
o Generate work orders from incident reports, facility inspections and safety audits.
o Create and process purchase orders as assigned by Director of Operations.
o Set up, maintain, and organize department central files.
o Prepare department internal billing documents and event expense summaries.
•  Distribute mail and parcels to relative departments.
•  Maintain and order supplies for operations and engineering departments as directed by Director of Operations.
•  Follow procedures for receiving ordered goods, including check in, inspecting items, and reporting findings to finance.
•  Promote a positive safety culture in the workplace by providing support and guidance to management to proactively take action to reduce risk and protect people.
•  Support management in the development and implementation of effective safety policies to address employee and client injury trends. Assist with identifying non conformances and deficiencies.
•  Review work practices for compliance with safety programs and legislative requirements. Where required, assist management in applying recommended changes.
•  Perform job site safety compliance inspections including hazard analysis, safe work procedures, reporting and recommendations.

•  Participate in facility’s safety committee, including monthly safety inspections and audits.
•  Maintain safety program files.
•  Assist Operations Director in creating training materials using Corporate Best 
Practices.
•  Assist Operations Director in creating and implementing safety policies and procedures for the Oklahoma City Convention Center.
•  Support Operations and Safety teams in coordinating training programs for full-time and part- time employees to increase awareness of safety & security issues and policies.
•  Adhere to OSHA NFPA, IFC and other applicable safety codes.
•  Assist Director of Operations in preparing estimates for safety and ADA remodeling projects and repairs.
•  Create monthly safety reports detailing safety inspections at the facility.
•  Assist Operations management, as assigned, in the coordination of activities relative to construction contracts, city services, subcontractors and vendors.
•  Other duties and responsibilities as assigned.

Education and/or Experience
•  GED or high school diploma.
•  Three years related experience and/or training in a similar role, preferably in the public assembly industry.

•  Demonstrate knowledge in maintenance and operational procedures, capabilities, industry terminology and event related services.
•  Demonstrate strong analytical skills and data-driven thinking.
•  Maintain a professional demeanor and energetic personality.
•  Organize and prioritize work to meet deadlines.
•  Possess skills in training.
•  Communicate effectively in both oral and written form.

Certificates, licenses, registrations
•  Company-provided OSHA 30-hour General Industry Safety & Health training to be obtained upon hire.

•  Physical demands of this job include being able to get in and around the facility, lift, carry, move, work from various heights.
•  Manual dexterity – regularly required to use hands & fingers to grasp and manipulate objects.
•  Ability to reach with hands and arms.
•  Ability to climb or balance and stoop, kneel, crouch, and crawl to access operational systems.
•  May spend long hours walking or standing.
•  Heavy lifting up to 50 lbs.
•  May be exposed to moderate to extreme noise.
•  May be exposed to moving mechanical parts in high precarious locations and outside weather conditions.

Computer skills
•  Operate a personal computer using windows and Microsoft Office software and standard office equipment.
•  Operate standard word processing and spreadsheet programs, ability to create forms, databases, and other documents.
•  Solid experience with facility work order software such as Altum, Bigfoot, Micromain, or net facilities is a plus.
•  Experience with Microsoft D365 is a plus.
