The Marketing and Corporate Affairs (MCA) department is tasked with ensuring a cohesive and unified strategy for the organisation's marketing, branding, external and internal communications, and sustainability efforts.
Within this structure, you will support two Retail-focused General Managers and their teams, encompassing both Consumer Marketing and Retail Corporate Affairs respectively.
Seeking an experienced (5+ years) EA who is currently, who or has supported, multiple managers – a multi-tasker
Consumer marketing is a big team – lots of call on the GM time, swift paced, hugely busy diary
Corporate Affairs – small team but the GM works very closely with the Group Executive so important to have good working relationship with the GE EA
Needs to be proactive – able to make decisions if managers are not available
The ability to look ahead - think outside the box for solutions for time-poor managers
Energetic teams – work hard, play hard – ready to inject some fun into the workplace whilst maintaining process and risk
Do work that matters
You will provide Executive support to two General Managers within MCA and your responsibilities will be as follows but not limited to:
Providing efficient, professional delivery of administrative, secretarial and business support
Diary and inbox management – scheduling meetings, managing correspondence and ensuring an efficient use of time.
Assisting in meeting preparation, such as any packs or materials that are available for review prior to meetings.
Coordinating internal/external meetings with clients/stakeholders – including liaising with other EAs and arranging meeting room bookings.
Arranging events/functions/off-sites/team building events (including catering where required).
Participating in meetings – coordinating agendas, actions and tracking.
Coordinating international and domestic travel arrangements.
Adhering to the Code of Conduct. The Code of Conduct sets the standards of behaviour, actions and decisions we expect from our people.
We're interested in hearing from people who have:
Superior skills in Microsoft Office tools, including MS Teams conferencing.
Previous Executive Assistant experience
The ability to manage workflow, priorities, work well under pressure and be flexible
High level of pragmatic professionalism – face to face, over the phone and through correspondence
Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.
