The Senior Meetings Manager is responsible for strengthening the meetings and travel program by overseeing meeting policy, procedures and compliance, while managing the meetings team members. This role provides strategic oversight of meeting logistics and technology services, ensuring alignment with organizational goals and performance standards. The Senior Manager leads the development and continuous improvement of standard operating procedures (SOPs), offers consultation and training on approved tools and services to drive policy compliance and positive stakeholder experience. Additionally, the role is accountable for leveraging organizational meeting spend to maximize value, secure cost savings, and enhance service offerings through strategic vendor partnerships.

This is a fully remote position and can be based anywhere within the U.S.

ESSENTIAL FUNCTIONS:  

  • Meetings management operations: Supports the Director, Meetings and Travel in managing daily operations, ensuring efficiency and effectiveness of Strategic Meetings Management Program, policy compliance and vendor performance (30%) 

  • Team Leadership & Customer Service: Manages direct reports, fosters a high-performing team culture, resolves escalations and build strong relationships with internal and external clients. (20%) 

  • Supplier and Partner Management: Oversees third-party meeting partners and participates in supplier selection to ensure high-quality service delivery, policy compliance, and alignment with ACS standards. (10%) 

  • Process Improvement & Evaluation: Develops SOPs, implements post-event evaluations, analyzes metrics and proactively identifies opportunities to enhance meeting operations and ROI. (10%) 

  • Strategic Oversight and Stakeholder Collaboration: Participates in stakeholder discovery calls and monitors complex project management to align the right solutions to meet stakeholder objectives and ensures recommended solutions remain on target to deliver required services (10%) 

  • Training, Communication & Resource Development: Creates and maintains internal training materials, communications, and intranet content to support the meetings management program. (5%)  

  • Reporting & Performance Monitoring: Prepares standard and ad hoc reports to track meeting performance, supplier effectiveness, and team contributions. (5%) 

 

EXPERIENCE/QUALIFICATIONS:  

  • Minimum Degree Required: Bachelor's Degree  

  • Preferred Degree: Bachelor's Degree  

  • Certificate(s) or License(s): CMM or SMMC Preferred   

  • Years of experience:  10 - 15 years in meeting and event planning  

  • REAL ID Required

KNOWLEDGE, SKILLS, AND ABILITY: 

  • Knowledge and understanding of GBTA’s Strategic Meetings Management components and maturity index. 

  • Knowledge and understanding of EIC’s Accepted Practices Guidelines for meeting planning (or similar). 

  • Experienced in meetings management technologies (CVENT, Groupize, etc.) 

  • Strong negotiation and contract administration skills, ensuring favorable terms and service quality.  

  • Proven ability to drive high performance and accountability from both internal team members and external suppliers.  

  • Professional presence to engage with executive level stakeholders 

  • Demonstrated experience managing multiple simultaneous projects involving cross-functional teams within budgetary and schedule constraints.  

  • Tactical and strategic project management experience managing teams involved in multiple activities.  

  • Strong financial acumen and cost control knowledge.  

  • Strong interpersonal, customer service and communication skills to navigate organizational dynamics effectively.  

  • Ability to use business acumen to drive strategic, forward-thinking solutions aligned with company initiatives.  

  • Demonstrates integrity and courage to lead problem-solving with vision and purpose.  

  • Self-motivated and able to work with limited, remote supervision.  

  • Demonstrated work ethic, integrity and professional conduct.  

  • Proficient in Microsoft Office for planning and presentation needs.  

TRAVEL REQUIREMENTS:  

  • Travel (25%) may be required 

PHYSICAL REQUIREMENTS:  

  • Some evening and weekends may be required 

  • Limited physical effort is required 

  • Limited exposure to physical risks 

The starting rate is $80,000 to $90,000. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
