JLL has an exciting opportunity to join our Retail Property Management Team.
Work with the General Manager to develop an annual marketing plan and budget. Implement marketing plan, including, but not limited to coordinating and overseeing marketing events and promotions, supervising event staff, follow through on media placement, writing, distributing and follow up on press releases, website management including content, updates, and email broadcast, and creating relevant social media posts that support the marketing plan. This position will also be fully engaged in tenant relations; writing and distributing merchant communication regarding marketing events, collecting participation forms, coordinating and speaking at merchant meetings, meeting with tenants regarding marketing opportunities and the like. The Marketing Coordinator has budget accountability and is responsible for efficiently managing expenses. This position must be able to work all shifts and all days of the week including weekends and overtime when required. The Marketing Coordinator supports the General Manager and the Administrative positions when necessary. The Marketing Coordinator will also complete special assignments as directed by the General Manager.
Major Tasks & Responsibilities
1. Marketing Budget – Calculate marketing income, including any CPI increases and lease assumptions and prepare budget. Assure the marketing budget is well prepared and managed efficiently. Review cash collections and occupancy monthly to ensure expenses do not exceed collections. Maintain budget accountability for marketing expenses, review and sign off on all marketing invoices before giving to General Manager for approval, reconcile and reforecast the marketing budget each month; the marketing coordinator is accountable for spending and year end variance which should be zero.
2. Marketing Plan – Prepare and present to General Manager for approval a center marketing plan, including a public relations and advertising tactical plan that is in line with the marketing budget. The marketing plan goals and objectives must be strategic, include reasoning from the SWOT analysis and address opportunities and/or challenges currently facing the center or center merchants. The primary goal must be focused on driving sales; the means to achieve that goal are subject to the creativity of the marketing coordinator with approval of the General Manager. Programs must be targeted and measurable. It is the marketing coordinator’s responsibility to implement the marketing plan in a timely and efficient manner, with regard to company standards and the center brand, devising metrics, calculating results and ensuring spending is within budget. Any deviations from the marketing plan must be presented to the General Manager in advance for approval. Note: the preparation of the marketing plan requires the marketing coordinator to have a thorough knowledge of the center trade area, market trends and area competition, keeping abreast of any changes.
3. Events and Promotion – Manage the details of event and promotion implementation, including, but not limited to, collateral, entertainment, merchant participation, resource interaction and support, staging, and take down. Implementation will also include coordination and hands-on working with the public at events and promotions. Organize evaluations, measurements and accompanying materials for corporate reporting; promotions must be sales driven and have metrics in place for accurate, quantifiable analysis.
4. Center Collateral – Supervise the production of all collateral materials including, but not limited to, directories, posters, press kits, letterhead/business cards, event brochures, and flyers. Work with designated vendors and resources to produce materials timely, cost effectively and with the appropriate approvals. If requested, present General Manager with three bids on all major collateral production and/or printing. Work with office administration, operations, and security to insure that all materials are distributed and/or placed appropriately and on time. It is the Marketing Coordinator’s responsibility to ensure all collateral is current, maintained to company standards and never dated. Track inventory of said items and replenish when necessary. In addition, when applicable assist General Manager with copyrighting and proofing of collateral and advertising.
5. Public Relations – Coordinate all press releases and distribution to targeted media with approval of General Manager. Handle press kits, press tracking and clippings and include PR detail in the marketing reports for corporate. Update and maintain press contact database keeping press files accurate and current. Develop local media relationship and assist General Manager with public relations activities as requested.
6. Web Management & Social Media – Oversee the Center’s website; manage all content and edit when necessary, update tenant sections regularly, encourage tenant participation on the website, and work with web provider to assure quality of navigation, layout and style in keeping with company format and branding initiatives. Produce and distribute email through broadcast e-blasts to support merchants and center generated events & promotions. Generate social media content and link to center and tenant events when appropriate. Grow email database, Facebook, Instagram and Twitter followers through creative campaigns, pertinent postings and targeted promotions. With approval of General Manager, establish partnerships with local venues in the area to secure in-kind trade for use in promotions to grow social media database.
7. Merchant Communication – Produce and distribute at minimum a quarterly merchant newsletter. Write and distribute merchant memos regarding upcoming events and promotions when needed. Ensure the distribution is timely and affords the merchant adequate time to respond. Meet with and contact via phone or email merchants regarding participation in events and promotions; if necessary contact district managers or corporate offices to ensure maximum participation. Meet with and discuss marketing opportunities with merchants as requested.
8. Corporate Reporting – Prepare a monthly marketing report and submit to corporate by deadline.
9. Sponsorship & Specialty Leasing – Support General Manager in the administrative duties associated with sponsorship and specialty leasing, including, but not limited to, material distribution, implementation as specified by General Manager, tracking and measurement reporting. Interface with sponsor/partner representatives to assure that their needs are being met. With the approval of General Manager secure sponsorships for signature marketing events.
10. Administrative Support – Provide front office coverage and other responsibilities as necessary in the absence of the administrative assistant; time off and vacation coverage and be prepared to re-prioritize daily responsibilities during the administrative assistant’s absence(s).
Qualifications
Education: 4 year Bachelor’s degree, Advertising, Communication or related field.
Knowledge and Experience Requirements:
Excellent organizational, oral and written communication skills. Understanding of social media tools and functionality. Demonstrated event coordination experience. Knowledge of budget process and management.
Special Skills:
Courteous, service-oriented, creative, self-motivated, highly organized, diplomatic and interacts well with others; team player.
WORD, Excel, Powerpoint. Excellent phone skills required.
Physical flexibility is necessary (stooping, kneeling, arranging displays and collateral, event materials, etc.).
Significant physical mobility is required. Requires occasional long hours of intense work pace.
