Purchase Executive

 

Position Summary

We are seeking an experienced Purchase Executive to manage procurement operations for our commercial building portfolio. The successful candidate will oversee purchasing activities, vendor relationships, and contract management while ensuring cost-effective procurement of goods and services.

 

Key Responsibilities

Procurement Management

  • Execute end-to-end procurement processes for building operations, maintenance, and capital improvements

  • Develop and manage purchase orders for equipment, supplies, and services

  • Coordinate with multiple vendors to ensure timely delivery and quality standards

  • Maintain accurate procurement records and documentation

Financial Operations

  • Process invoices and manage billing reconciliation

  • Monitor budget compliance and cost control measures

  • Generate purchase requisitions and obtain necessary approvals

  • Track spending against approved budgets and report variances

Vendor & Contract Management

  • Negotiate vendor contracts and service agreements

  • Maintain vendor database and performance evaluations

  • Conduct vendor assessments and due diligence

  • Manage contract renewals and amendments

  • Resolve vendor disputes and performance issues

Work Order Coordination

  • Process and track maintenance work orders

  • Coordinate with facilities teams on service requirements

  • Ensure proper documentation and completion of work orders

  • Monitor service delivery and quality standards

Required Qualifications

Experience & Education

  • Minimum 5+ years of experience in procurement, purchasing, or vendor management

  • Bachelor’s degree in business administration, Supply Chain Management, or related field preferred

  • Commercial real estate or facilities management experience strongly preferred

Technical Skills

  • Proficiency in procurement software and ERP systems

  • Advanced Excel skills for data analysis and reporting

  • Experience with purchase order and invoice processing systems

  • Knowledge of contract management principles

Core Competencies

  • Strong negotiation and vendor relationship management skills

  • Excellent analytical and problem-solving abilities

  • Detail-oriented with strong organizational skills

  • Effective communication and interpersonal skills

  • Ability to work independently and manage multiple priorities

Preferred Qualifications

  • Certified Professional in Supply Management (CPSM) or similar certification

  • Experience with facilities management software platforms

  • Knowledge of commercial building systems and maintenance requirements

  • Understanding of regulatory compliance in commercial properties
