Reporting to the Business of Creative Enterprises (BCE) Director, the Administrative Assistant & Community Coordinator will handle a range of essential duties, including administrative support, the planning and coordination of community-oriented events, and advancing new and continuing program initiatives. This is a multifaceted position that invites creativity, is highly collaborative, requires a passion for detail, strong communication, problem-solving, and organizational skills, as well as a talent for relationship building.ESSENTIAL JOB DUTIES
Administrative
Support BCE Director with general administrative tasks (communication, coordination, planning, meetings, event support, faculty/guest visits).
Coordinate with and support Director on registration and academic advising.
Create and coordinate academic and community program schedule with Director.
Communicate program news and updates across the BCE community through appropriate channels.
Maintain program budget in collaboration with Program Director and Finance Director.
Place orders for merchandise, supplies, equipment, etc.
Coordinate with the School of Communication’s administrative staff on faculty searches and other tasks.
Provide occasional support for general administrative tasks to BCE Graduate Program Director and BCE faculty.
Event Planning & Coordination
Coordinate and oversee BCE events per guidance of BCE Director including reserve booking space, place catering orders, advise/lead student workers around specific event tasks and assist with event preparation, setup, and breakdown
Promotion and Social Media
Coordinate with Director and Student Workers on program and curriculum promotion
Support student workers, and occasionally lead posting, on BCE social media channels (e.g., LinkedIn, Instagram, etc.)
Community Building
Leads, coordinates, and supports BCE community enrichment programs:
BCE Buddies: Our mentorship program for incoming students
- Lead and support including communication about program, recruiting mentors, gathering information from mentors and incoming students, matching process, and coordination of supporting events
BCE Ambassadors: Our BCE liaison and leaders, BCE Ambassadors are student workers who want to practice and apply their leadership skills in service of the program and BCE community. - Coordinate, lead and support BCE Ambassadors including communication about program, recruiting of student leaders, running meetings, and coordination of supporting events
BCE Mentors: Our newest program which partners current juniors and seniors with BCE alumni who serve as mentors for navigating post-college life.
- Lead and support including communication about program, recruiting alumni mentors, pairing of mentors with mentees, coordination of supporting events
QUALIFICATIONS – Qualifications are deemed required or preferred and represent what is needed to effectively perform job.
Bachelor of Arts/Science degree from an accredited college or university strongly preferred, or 2-4 years of equivalent experience in the administrative field
One or more years of relevant work experience required
KNOWLEDGE, SKILLS, AND ABILITIES – This may be representative but not all-inclusive of the knowledge, skills, and abilities commonly associated with the job.
Ability to craft well-written, professional communication across a variety of mediums
Comfortable leading small groups, making introductions, jumping in and following up
Think strategically, speak up, ask questions, and share your ideas
Strong attention to details and deadlines
Learn quickly, and are curious about the program & creative industries, allowing you to gain relevant knowledge to contribute to tasks
Consistent, reliable, and enjoy collaborative creative problem solving
Have a solid sense of design as it facilitates good communication
Capable of and/or accomplished with creating internal and external communication strategies, and are knowledgeable of social media best practices for content creation and posting
Familiar with some or most of the following: Canva, Eventbrite/Paperless Post, Microsoft Office (PowerPoint, Word, Excel, etc.) and Google Drive (+ Docs, Sheets, Slides), etc.

Position is mostly in-person, but allows for some hybrid work, with a set schedule for time on campus
