Ameresco has an opening for a Construction Project Coordinator supporting West Construction Operations.

As a Construction Project Coordinator at Ameresco, you will support Project Managers and Construction Project Managers throughout the entire Western Region. Support will include assisting the Construction team with initial project setup and streamlining electronic document management throughout the process to ensure compliance with Company, Contract and/or applicable Local/Federal jurisdictions and/or requirements. The position would ideally be in Washington State and split reporting time 50/50 between the Kent, WA office and their home office. The position will be salaried and responsibilities are identified below.

Responsibilities:

  • Assist with administrating and coordinating construction project documents through Procore and other software platforms including, but not limited to;
    • Possess Procore integrator level credentials or able to achieve through online training.
    • Processing and managing distribution of Submittals, RFI’s, COP’s and other Construction documents as necessary through Procore.
    • Manage all necessary compliance documentation through Procore for local and Federal jurisdictions.
    • Coordinate scheduling milestones, equipment procurement, delivery, and other project milestones required to ensure project success while meeting or exceeding customer expectations.
    • Proficient in MS Excel, Word, Power Point and other MS office suite applications.
    • Manage and distribute meeting agendas and minutes using Procore, or client preferred method.
  • Assist with assembling documentation as necessary for invoicing.
  • Project Close out.
    • Track closeout process for all projects and organize document management.
    • Submit closeout documents to regulatory compliance standard delivery.
  • Provide daily support to construction group, including administrative, word processing, database, and spreadsheet activities, coordinate office coverage, e-mail communication, schedules, meetings, itineraries, invoice processing.
  • Coordinate and prepare distribution of bid documents: identify and pre-qualify potential subcontractors, receive requests for information, prepare and issue addendums, follow up during the bid process, prepare tabulations.
  • Assist with subcontract documentation, budgets, cost analysis, accounting, monthly accruals, cost forecasting, and reporting: process and track project documents, expenditures, change orders, purchase orders, and invoices for accuracy, approvals, and payments.
  • Organize, track, and maintain project related files, drawings, materials, documents, and correspondence.
  • Regularly provide project reports, documentation, technical assistance, support, and collaboration.
  • Foster effective and positive business relationships with all parties.
  • Provide schedule flexibility for project support as required; and
  • Perform other duties as assigned.

Minimum Qualifications:

  • Bachelor’s degree in a related field, or the equivalent relevant work experience.
  • Minimum of 4 years’ experience with exposure to large scale construction projects involving upgrades, renovations, and retrofits involving institutional, government, commercial and industrial customer sites.

  • Proven ability to gather, validate, and analyze quantitative data and information.
  • Excellent verbal, written, computer, technical communication and presentation skills required.
  • Demonstrated ability to effectively manage multiple priorities and business relationships.
