The Part-Time Administrative Assistant serves as the first point of contact for prospective and current students visiting the Enrollment Center. This position provides exceptional customer service by welcoming students and guests, answering general enrollment-related questions, and directing individuals to the appropriate Enrollment Specialist or campus resource. The Administrative Assistant supports daily front desk operations while providing administrative support to the Enrollment Center team through appointment scheduling, document processing, records management, and other operational functions.
The Administrative Assistant is responsible for receiving, reviewing, scanning, indexing, and routing student documentation; maintaining accurate records; supporting departmental projects; and utilizing a variety of college systems, including Banner, Salesforce, Outlook, Microsoft Bookings, and other technologies to ensure efficient operations. This position maintains the highest level of confidentiality and conducts all work in compliance with FERPA and Ivy Tech policies.
Hourly Rate: $16.22
Major Responsibilities
- Serve as the primary front desk representative for the Enrollment Center, creating a welcoming and professional environment for students, guests, and campus partners.
- Provide general information regarding admissions, registration, financial aid, assessment, orientation, residency, records, bursar services, and other enrollment-related processes.
- Check students into the queue or appointment management system and connect them with the appropriate Enrollment Specialist or department.
- Schedule appointments using Microsoft Bookings and other scheduling platforms.
- Answer and route incoming phone calls, emails, and general inquiries.
- Receive, review, and verify the completeness of student forms and supporting documentation.
- Scan, upload, index, and route student documents using digital document management systems.
- Utilize Banner, Salesforce, Outlook, Microsoft Office, and other college software to support student services and departmental operations.
- Maintain accurate electronic and physical records while protecting confidential student information.
- Assist Enrollment Specialists with administrative support including mailings, filing, reports, data entry, and special projects.
- Support onboarding and daily guidance of work-study students as assigned.
- Maintain knowledge of Enrollment Center procedures, campus resources, and emergency protocols.
- Work collaboratively with Enrollment Specialists and campus departments to provide seamless student service.
- Perform other duties as assigned in support of Enrollment Center operations
Minimum Qualifications
- High school diploma or equivalent required; Associate degree preferred.
- Minimum of two years of customer service, administrative support, or related experience; higher education experience preferred.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to learn and effectively utilize Banner, Salesforce, Microsoft Bookings, and other technology platforms.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to prioritize work and manage multiple tasks in a fast-paced environment.
- Ability to work independently while contributing to a collaborative team environment.
- Demonstrated commitment to excellent customer service and serving a diverse student population.
- Ability to maintain confidentiality and comply with FERPA requirements.
Preferred Qualifications
• Experience working in higher education, student services, enrollment management, or a related office.
• Experience using Banner, Salesforce, or other student information systems.
• Experience with electronic document management and imaging systems.
